About the Role

Community Medical Services is seeking a highly skilled and compassionate Client Services Coordinator to join our team. As the face of our clinic, you will be responsible for providing exceptional patient experience and ensuring a smooth flow of clients through our facility.

Key Responsibilities
  • Greet and Assist Clients: Welcome clients in person and over the phone, providing a professional and courteous experience.
  • Manage Patient Flow: Coordinate the flow of clients in a fast-paced environment, ensuring timely and efficient service.
  • Schedule Appointments: Utilize electronic scheduling systems to schedule appointments and manage client schedules.
  • Document Client Visits: Accurately document client visits in electronic health records, maintaining confidentiality and adhering to HIPAA guidelines.
  • Maintain a Welcoming Environment: Ensure the lobby and reception area remain clean and organized, providing a comfortable and welcoming space for clients.
  • Coordinate Intakes: Assist clients with completion of required documentation and schedule with available providers and counselors to complete the intake process.
  • Verify Insurance Eligibility: Verify insurance eligibility through various portals and set up billing episodes in electronic health records.
  • Establish Payment Plans: Establish client payment plans and financial contracts, collecting and posting payments as necessary.
  • Ensure Confidentiality: Maintain confidentiality of all client and employee information, adhering to HIPAA guidelines.
  • Assist with De-escalation: Utilize a trauma-informed approach to assist clients in de-escalating situations.
  • Triage Client Issues: Triage client issues to secure the most appropriate solution.
  • Introduce Clients to Recovery Connect: Introduce clients to the Recovery Connect engagement app and assist them in navigating it as needed.
  • Complete End-of-Day Tasks: Complete end-of-day tasks, including reconciling deposit and payment records.
Requirements
  • High School Diploma/GED: Possess a high school diploma or equivalent.
  • Customer Service Experience: Possess 1+ year of experience in customer service.
  • Front Desk Experience: Possess 1+ year of front desk experience, preferably in a hospital or multi-physician practice setting.

  • Excellent Communication Skills: Possess the ability to communicate clearly and effectively with all organizational levels and outside providers.
  • Basic Computer Knowledge: Possess basic computer knowledge, including the ability to navigate electronic health records.
  • Cultural Competence: Possess cultural competence and sensitivity to client and employee needs.
  • Problem-Solving Skills: Possess strong problem-solving skills, including conflict resolution and time management.
  • Customer Service Skills: Possess excellent customer service skills, including a strong ability to maintain confidentiality.
