Position Overview:

This role is primarily focused on delivering administrative assistance to the Wealth Management team while ensuring outstanding customer service for both existing and prospective clients.


Key Responsibilities:


  • Facilitate the processing of new client accounts, distributions, and various financial transactions.
  • Address daily inquiries from clients.
  • Work collaboratively with fellow Client Service team members to ensure exceptional service delivery.
  • Maintain, update, and organize client records.
  • Execute administrative tasks and track client data utilizing a Customer Relationship Management system.
  • Provide regular updates to the Wealth Management Team regarding account openings and asset transfer status.
  • Generate account maintenance reports on a monthly or quarterly basis.
  • Coordinate and assist in the preparation of annual client meetings.
  • Offer support to other Wealth Management team members as needed.
  • Establish and nurture trusted relationships with clients, advisors, and vendors.
  • Complete follow-up tasks post-meetings, including scheduling asset transfers and gathering necessary documentation.
  • Collaborate with Wealth Managers on account inquiries and service requests.
  • Ensure compliance with Required Minimum Distributions for clients.
  • Engage in industry meetings and educational opportunities for professional growth and development.
  • Participate in special projects or assignments as required, working with partners to address complex issues.

Required Skills and Qualifications:

  • Exceptional oral, written, and interpersonal communication abilities.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Self-motivated with a strong commitment to quality, detail orientation, and accuracy.
  • Adept at multitasking and adapting to changing priorities in a dynamic environment.
  • Strong problem-solving capabilities.

Education and Experience:

  • High School diploma or equivalent.
  • Preferred: College degree.
  • Experience in the financial services sector is advantageous.

Certificates and Licenses:

  • No specific certifications required.
