Southeastern Archaeological Research, LLC. (SEARCH) is seeking a dedicated Administrative Specialist to support our operations in Orlando, Florida. This role is essential for maintaining an efficient office environment and requires in-person attendance during standard business hours, Monday through Friday.
The Administrative Specialist will play a crucial role in managing various administrative tasks and providing support across multiple departments. Responsibilities include serving as the first point of contact for visitors and inquiries, organizing meetings, documenting minutes, and overseeing general office management duties. The position also involves collaboration with different teams to address their administrative needs and requests.
Key Responsibilities:
- Assist the leadership team with administrative tasks and requests.
- Coordinate and schedule meetings, while documenting minutes and assisting with logistical arrangements.
- Prepare and compile reports for clients and regulatory bodies.
- Maintain compliance with business regulations.
- Provide support for accounting tasks, including expense reporting.
- Collaborate with other administrative staff to ensure company-wide support.
- Manage office opening and closing procedures.
- Handle incoming calls and direct them appropriately.
- Update and maintain internal contact databases.
- Organize outgoing shipments and manage supply orders.
- Maintain office organization and cleanliness.
- Serve as the liaison for office equipment services and repairs.
- Perform additional duties as assigned.
Qualifications Required:
- A minimum of two years of experience in an administrative role, preferably in a marketing or operations context.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Experience with cloud-based CRM systems.
- Ability to manage multiple projects effectively while remaining adaptable to changing priorities.
- Strong customer service orientation with a commitment to confidentiality and sound judgment.
- Attention to detail and accuracy in all tasks.
- Excellent verbal and written communication skills, demonstrating professionalism and tact.
Preferred Qualifications:
- Bachelor's degree in Business Administration or a related field.
- Experience with Concur Expense Management System.
- Background in paralegal work.
- Familiarity with the Cultural Resource Management sector.
- Experience with various software systems such as Concur, Costpoint, Dynamics, and SharePoint.
- Five years of experience in office administration.
