JOB SUMMARY AND QUALIFICATIONS:

The Community Engagement Coordinator plays a vital role in supporting Volunteers of America Mid-State's mission by managing the daily and weekly schedules of the External Relations Directors, facilitating communication with external stakeholders, overseeing event planning and marketing materials, and providing essential administrative support to the External Relations Senior Directors. This position is ideal for a creative, adaptable individual who thrives in a collaborative team environment and possesses a proactive approach to organizational excellence.

WHAT YOU SHOULD HAVE FOR THIS ROLE:

We seek candidates with a Bachelor's degree in a relevant field or 2-4 years of experience in an administrative capacity, showcasing a strong background in customer service. The ideal candidate should demonstrate proficiency in planning, organizing, and managing resources to meet specific objectives within established timelines. A proven ability to collaborate effectively with a diverse range of internal and external stakeholders is crucial. High-level proficiency in Microsoft Office is required, and experience with social media and content creation is highly regarded. Familiarity with Canva is preferred, and experience with the Adobe Suite is considered advantageous.

RESPONSIBILITIES:

Coordination and Execution of Department Responsibilities


• Organize fundraising activities, including program tours and other events.


• Represent Volunteers of America at donor events as necessary.


• Assist in the development of a multi-year donor communication strategy.


• Oversee grant administration processes.


• Manage internal communication strategies.


• Conduct research to support Business Development initiatives as required.


• Perform additional duties as assigned.

Administrative Support


• Maintain calendars for departmental and senior directors as needed.


• Prepare expense reports for senior directors and the VP.


• Assist in coordinating agendas for quarterly meetings and other events.


• Support departmental and organizational mailings.


• Assist the Associate Director of Board and Executive Relations with Board meetings and support the External Relations Committee.


• Provide front desk coverage and assist the executive coordinator to ensure excellent customer service for callers and guests.

Event Coordination


• Assist in planning and executing events.


• Manage event logistics, including catering, invitations, and registrations.

Marketing Support


• Aid in the creation and implementation of marketing materials such as brochures, flyers, and advertisements as needed.


• Develop social media graphics and posts for all of VOA's social media platforms, including creating graphics, short-form videos, content schedules, and collaborating with the Senior Manager of Multi-Media Communications to enhance engagement and reach.

Liaison Duties


• Serve as the primary contact between the External Relations department and the Office of the President.


• Keep the External Relations department informed about the President's initiatives and priorities, in collaboration with the Executive Coordinator to ensure effective communication and action items.
