Position Overview:

The primary responsibility of the Student Support Services Specialist is to enhance the academic journey and overall welfare of students. This includes providing academic guidance, addressing student concerns, and ensuring the efficient handling of advising-related documentation within the College of Business Administration.

This role also plays a crucial part in supporting the leadership of the College, including the Dean, Assistant Dean, and various program directors, as well as faculty members. A significant aspect of this position involves recruitment activities, such as participating in educational fairs.

The Student Support Services Specialist acts as a bridge to other academic and administrative departments, including Admissions, the Registrar's office, Student Accounts, the International Services Office, the Dean of Students office, the Student Success Center, the Center for Career & Professional Development, Financial Aid, and other academic divisions.

To excel in this role, the Specialist must possess strong listening skills, demonstrate empathy, and show respect towards all students, faculty, and staff.

Key Responsibilities:
  1. Academic Advising (65% of time):
    Provide guidance to graduate, undergraduate, international students, and high school dual enrollment participants regarding course selections each term.
    Clarify and interpret academic policies and procedures.
    Follow up with students who have not registered.
    Document advising sessions in the system.
    Process advising forms, including adds/drops and program changes.
    Counsel prospective students on admission requirements and transfer credits.
    Review and finalize graduation certifications for graduate students.
    Address and resolve academic issues faced by students.
    Monitor and track student academic performance, particularly those on academic warning or probation.
    Collaborate with Admissions to engage with prospective students and their families.
    Process course overrides in the system.
    Generate reports using relevant software.
    Participate in student-related events.
    Keep students informed about scholarship opportunities, internships, and other relevant events.
  2. Manage Graduate Assistant Process (10% of time):
    Oversee the Graduate Assistant program each academic term.
  3. Manage High School Dual Enrollment Process (10% of time):
    Supervise the dual enrollment program each academic term.
  4. Attend Recruitment and Education Conferences (5% of time):
    Regularly participate in relevant conferences.
  5. Serve as Staff Moderator for Student Organizations (5% of time):
    Act as a moderator for student organizations on a monthly basis.
  6. Other Duties as Assigned (5% of time):
    Perform additional responsibilities as needed.

Qualifications:
Minimum Requirements:
A college degree with six months to two years of relevant experience, along with a professional certificate or graduate degree.
Preferred Qualifications:
Previous experience in academic advising within higher education.
Familiarity with advising software and tools.
Understanding of academic policies and campus departments.
Proficiency in communication platforms such as Microsoft Teams, Google Meet, and Zoom.
Strong interpersonal skills, patience, and a positive attitude towards student welfare. The ability to manage multiple tasks, stay organized, proactive, and detail-oriented is essential. Flexibility in scheduling to accommodate student needs during various times is also required. The Specialist should be committed to supporting the mission of the College and University.
Physical Requirements:
The role may involve lifting light-weight objects (1 to 10 pounds) without repetitive bending or stooping. Occasional lifting of average-weight objects may be necessary.
Work Environment:
Regular exposure to a standard office environment.
Salary/Pay Information:
Compensation will be commensurate with experience.
Licenses/Certifications:
Anticipated work schedule is Monday - Friday, 8:30 a.m. - 5:00 p.m.
