Position Overview: The Recruitment Events Coordinator and Student Ambassador Manager will collaborate closely with the Admissions Events Manager to assist the Admissions team in the organization, scheduling, execution, and evaluation of recruitment, admissions, and Scholastic Art Award events both on and off campus. This role will also oversee the Student Ambassador program, which includes recruiting, scheduling, training, and supervising a team of student workers responsible for conducting tours, data entry, and outreach initiatives. Flexibility for evening and weekend hours is necessary.

Key Responsibilities:
  • Oversee the Student Ambassador program, including recruitment, training, scheduling, and overall support;
  • Organize and manage daily campus tours—individual, group, and specialized tours—ensuring effective communication with guests, scheduling, and event tracking within the CRM system;
  • Work alongside Admissions Counselors and Leadership to develop and maintain documentation and resources related to Student Ambassador duties;
  • Contribute to the planning and execution of admissions-related events and recruitment activities;
  • Coordinate Admitted Student Events/Activities—both on-campus and virtual;
  • Create, schedule, and manage events within Admissions and CCS Systems, including CRM, Gmail Calendars, Calendly, and the institutional website;
  • Maintain and analyze Admissions Events-related data in CRM and/or Google Suite—RSVP lists, attendance records, surveys, etc.;
  • Assist in preparing and processing payment requests for events;
  • Coordinate event communications with the Marketing Communications Specialist;
  • Collaborate with the Marketing and Communications Team to design signage and materials related to events/activities;
  • Support the review of Admissions Events-related web pages and documentation, identifying necessary updates and submitting changes as directed;
  • Provide assistance for the Scholastic Art & Writing Awards program;
  • Support Admissions Counselors and Leadership with RSVPs for college fairs, Portfolio Days, and other recruitment activities;
  • Track and manage inventory of event-related materials and supplies;
  • Assist in coordinating the delivery of new Admissions publications;
  • Attend and support all CCS on-site and off-site Admissions events;
  • Engage in recruitment activities and events as required;
  • Assist the Director of Operations and Admissions Coordinator with managing promotional materials—inventory, storage, requests, and distribution;
  • Conduct tours for prospective students and parents when necessary;
  • Support the Admissions Team with daily responsibilities, including front desk assistance, communications, file processing, and special projects;
  • Act as a problem-solver for Admissions-related events and activities;
  • Perform additional duties as assigned.

Qualifications and Experience:
  • Experience in event support;
  • Outstanding customer service skills;
  • Excellent verbal, written, and communication abilities;
  • Proficient in various digital tools and processes, including email, phone, student databases, data entry, Microsoft Word, Excel, and Adobe Acrobat;
  • Ability to prioritize and manage large volumes of information and competing tasks;
  • Strong decision-making skills within established guidelines;
  • Team-oriented with a keen attention to detail and strong listening skills, capable of providing timely and considerate information;
  • Experience in art/design is advantageous;
  • Background in higher education is a plus.

WORK ENVIRONMENT:
This position operates in a professional office and college campus setting. The noise level is typically moderate, with occasional exposure to outdoor weather conditions.
PHYSICAL DEMANDS:
The physical requirements for this role include:
  • Regularly maintaining a stationary position, utilizing a computer and other office equipment, and communicating effectively in person, by phone, and virtually;
  • Frequent interaction with staff, faculty, students, and external parties;
  • Occasional lifting of files or objects weighing up to 25 pounds;
  • Ability to navigate within the office and across campus, attend off-site meetings and events, and travel between various sites as required. CCS will provide reasonable accommodations for individuals with disabilities to perform essential functions.
