The Assistant Project Manager plays a crucial role in supporting the Project Manager by overseeing all administrative and technical aspects of construction projects. This position involves engaging in various activities related to contract management, modifications, submissions, procurement, financial setup, and scheduling to ensure that projects are executed efficiently, profitably, safely, and on time. A consistent focus on fulfilling and surpassing client expectations is essential, as the Assistant Project Manager aids the Project Manager in all facets of assigned projects.

Key Responsibilities:

  • Collaborate with the Project Manager to identify necessary resources, including personnel, tools, equipment, materials, and internal services for each project.
  • Assist in Preconstruction Services by preparing, reviewing, and monitoring all cost-related information and reports for assigned projects.
  • Support the Project Manager in developing the construction schedule and a matrix of organizational responsibilities at the commencement of each project.
  • Contribute to the creation and management of project budgets.
  • Help prepare bid packages and define subcontractor scopes of work; organize subcontractor pre-work meetings, document minutes, and ensure follow-up.
  • Adhere to the stipulations of owner contracts, including bonds, fees, notifications, schedules, reporting, and costs.
  • Assist the Project Manager in delineating responsibilities for processing submissions, particularly for more complex trades when staffing is limited.
  • Ensure that all necessary documentation from subcontractors and suppliers is completed in a timely manner before and during the project.
  • Establish and maintain effective communication with suppliers and other key stakeholders to confirm that all materials, supplies, tools, equipment, and personnel are procured and delivered as required.
  • Engage with all suppliers and subcontractors to ensure they comprehend performance standards related to established schedules or plans and specifications. In the event of performance issues, coordinate with the Project Manager to determine appropriate actions.
  • Participate in all mandatory planning, progress, and closeout meetings with project staff and other key stakeholders to address project concerns, challenges, and unforeseen circumstances involving subcontractors, suppliers, and client changes.
  • Evaluate progress against the schedule, compare actual costs to estimates, ensure compliance with plans and specifications, review any issues, and verify that the quality of work performed meets contract specifications and company standards.
  • Oversee the project closeout process to resolve all financial obligations, demobilize resources, and transition the project to the client.

Qualifications:

  • Bachelor's degree in Construction Management, Building Science, Engineering, or a related field, along with 4 to 6 years of experience in leadership roles on projects of varying sizes preferred. A minimum of 7 years in the construction sector is required.
  • Exhibit strong leadership capabilities with a willingness to tackle challenges, resolve issues, and inspire others.
  • Ability to manage multiple projects simultaneously, meet various deadlines, and network effectively with staff, management, and clients.
  • Proficient in using personal computers (PC) and company communication tools, including email, internet, and Microsoft Office products (e.g., Word, Excel, Outlook).
  • Exceptional written and verbal communication skills.
  • Detail-oriented with strong analytical abilities.
