The Assistant Project Manager plays a crucial role in supporting the Project Manager with both administrative and technical aspects of construction initiatives. This position involves assisting in various tasks related to contract management, change orders, submissions, procurement, financial setup, and project scheduling to ensure successful completion of projects with a focus on quality, profitability, safety, and timeliness. The role requires a commitment to understanding and exceeding client expectations by providing comprehensive support to the Project Manager throughout all phases of assigned projects.

Key Responsibilities:

  • Collaborate with the Project Manager to identify necessary resources including personnel, tools, equipment, materials, and internal services for each project.
  • Assist in Preconstruction Services by preparing, reviewing, and monitoring financial reports related to project costs.
  • Support the Project Manager in developing the construction schedule and defining roles and responsibilities at the outset of each project.
  • Contribute to the creation and management of project budgets.
  • Help prepare bid packages and define subcontractor scopes of work; organize subcontractor pre-work meetings, document minutes, and follow up on action items.
  • Ensure compliance with owner contract requirements, including bonds, fees, notifications, schedules, reporting, and costs.
  • Assist the Project Manager in delineating responsibilities for processing submissions, particularly for complex trades when staffing is limited.
  • Verify that all necessary documentation from subcontractors and suppliers is completed in a timely manner throughout the project lifecycle.
  • Establish and maintain effective communication with suppliers and key stakeholders to ensure timely procurement and delivery of materials, tools, equipment, and personnel.
  • Engage with suppliers and subcontractors to ensure clarity on performance standards related to schedules and specifications, and coordinate with the Project Manager to address any performance issues.
  • Participate in all required planning, progress, and closeout meetings with project teams to discuss concerns, challenges, and unexpected developments involving subcontractors, suppliers, and client changes.
  • Monitor project progress against the schedule, compare actual costs to estimates, ensure compliance with plans and specifications, and assess the quality of work performed to meet contract specifications and company standards.
  • Oversee the project closeout process to finalize all financial obligations, demobilize resources, and facilitate the transition of the project to the client.

Qualifications:

  • Bachelor's degree in Construction Management, Building Science, Engineering, or a related field, with 4 to 6 years of experience in leadership roles on projects of varying sizes preferred. A minimum of 7 years in the construction sector is required.
  • Proven leadership capabilities with a strong ability to tackle challenges, resolve issues, and inspire team members.
  • Ability to juggle multiple projects, meet various deadlines, and effectively network with staff, management, and clients.
  • Proficient in using personal computers (PC) and company communication tools, including email, internet, and Microsoft Office Suite (e.g., Word, Excel, Outlook).
  • Exceptional written and verbal communication skills.
  • Detail-oriented with strong analytical abilities.
