About the Role
We are seeking an experienced Assistant Administration Manager to join our team. This critical position involves overseeing the creation and maintenance of therapy staff schedules, ensuring balanced caseloads and minimizing conflicts or overlaps in appointments.
Main Responsibilities
- Oversight of scheduling processes to ensure efficient use of resources and seamless client experiences.
- Collaboration with therapists to address scheduling needs, special accommodations, or changes in availability.
- Proactive conflict resolution to minimize disruptions and maintain operational efficiency.
- Leadership and training of the scheduling and reception team.
- Client service and support, including greeting, assistance, and payment coordination.
- Maintenance of confidentiality and compliance with HIPAA regulations.
- Audit and management of client files, including closure and archiving as necessary.
- Clinical coordination, insurance checks, and physician order renewals.
What We're Looking For
- Prior administration and scheduling experience required.
- Prior leadership experience preferred.
- Excellent communication, problem-solving, and interpersonal skills.
- Ability to work effectively in a dynamic environment.
- Regular attendance and punctuality essential for department performance.
Compensation and Benefits
