Overview

As an Office Administration Coordinator, you will play a vital role in providing essential administrative and operational support to the Executive Director of the Office of the Administrator (TOA).

This role is part of a Bargaining unit represented by AFGE, local 3313.

Key Responsibilities

The Office Administration Coordinator:
  • Utilizes an automated travel management system to facilitate travel arrangements for TOA staff, including securing travel and accommodation bookings, and preparing necessary travel documentation.
  • Coordinates meetings with external partners and agency leadership, as well as interviews and conferences, ensuring all logistical details such as venue, agenda, and participant lists are meticulously arranged.
  • Maintains accurate and timely records of time and attendance, submitting this information electronically on a bi-weekly basis.
  • Provides guidance to TOA in administering personnel programs in compliance with established policies and procedures.
  • Manages official correspondence through the agency's Electronic Document Management System (EDMS), ensuring all communications are error-free prior to submission for signatures.
The ideal candidate will possess a strong background in managing the daily administrative operations of an organizational program office.

CONDITIONS OF EMPLOYMENT:

  • TELEWORK ELIGIBILITY: This position may allow for occasional telework, subject to approval by your supervisor in accordance with agency policies.
  • PROBATIONARY PERIOD: A one-year probationary period is required unless already completed.
  • TIME-IN-GRADE: Federal applicants must have served 52 weeks at the next lower grade in the competitive or excepted service.
Qualifications

To qualify for this position, candidates must meet either the educational or specialized experience requirements.For GS-09 on Experience: At least one year of experience equivalent to GS-07, including:
  • Providing administrative support for essential organizational systems (e.g., recordkeeping, time and attendance, correspondence).
  • Establishing and maintaining effective working relationships both internally and externally.
  • Drafting and/or updating organizational policies and procedures.
For GS-09 on Education:
  • Completion of 2 years of progressively higher-level graduate education leading to a master's degree or possession of a master's degree.
  • Combination of graduate education and experience may also qualify, supported by your resume and transcripts.
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs): Candidates will be evaluated based on their knowledge, skills, abilities, and/or competencies in the following areas:
  • Written Communication: Ability to write clearly and persuasively for the intended audience.
  • Computer Skills: Proficiency in using computers, software applications, databases, and automated systems.
  • Customer Service: Commitment to understanding and meeting the needs of clients and customers.
Experience may include both paid and unpaid work, including volunteer service.
