About You

The ideal candidate for the Healthcare Administrative Coordinator position should possess the following qualifications:

• Education: An associate degree or certificate in medical administrative assistance from an accredited institution.

• Experience:

  • Preferred minimum of 1 year of relevant experience.
  • Proficient in Microsoft Office Suite.
  • Familiarity with HEALTHeLINK is a plus.
  • Experience with Electronic Medical Records (EMR) is advantageous.
  • Knowledge of Medent is preferred.
  • Administrative experience in a value-based care environment.
  • Experience in urban healthcare settings is preferred.
  • Entrepreneurial Spirit: A commitment to addressing long-standing gaps in care delivery for Black and Brown populations.
  • Communication Skills: Exceptional verbal and written communication abilities; bilingual skills are a plus.
  • Relationship Management: Ability to cultivate and maintain effective relationships with patients, team members, and healthcare providers.
  • Team Culture: Strong ethical standards, good judgment, and a collaborative mindset; a desire to thrive in a dynamic and entrepreneurial environment.

• Requirements:

  • Proof of completion of relevant educational programs.
  • Availability for Monday to Friday work schedule from 8 AM to 5 PM.

About the Role

The Healthcare Administrative Coordinator will be responsible for:

  • Providing administrative support under the direction of healthcare professionals and fostering long-term patient relationships.
  • Conducting administrative tasks such as verifying patient demographics, insurance details, and managing visit registrations and payments.
  • Assisting with medical records management and addressing quality care gaps.
  • Preparing prior authorizations for diagnostic tests as required by insurance providers.
  • Managing incoming faxes, orders, referrals, and document routing.
  • Preparing patient charts and assisting with health information management.
  • Updating and maintaining patient health records.
  • Handling patient inquiries and directing them appropriately.
  • Scheduling patient appointments, sending reminders, and managing rescheduling.
  • Conducting follow-up calls for missed appointments and tests.
  • Completing necessary forms and scheduling patient visits.
  • Monitoring quality measures and tracking performance.
  • Performing additional duties as assigned by management.

Work Environment:

This position involves office-based work in a traditional office setting with climate control and artificial lighting. The role requires effective communication with patients, vendors, and colleagues, both in person and through electronic means. Regular use of telecommunication devices is essential, and the ability to sit for extended periods is common. Occasional lifting of up to 30 lbs may be necessary, along with good manual dexterity for operating office equipment.
