Executive Support Specialist

We are seeking a highly organized and detail-oriented Executive Assistant to provide exceptional support to our Agent. As a key member of our team, you will be responsible for managing the Agent's calendar, coordinating meetings, and providing administrative assistance.
Key Responsibilities- Manage the Agent's calendar, including scheduling appointments and prioritizing tasks
- Act as the point of contact for the Agent, employees, clients, and external partners
- Provide administrative support, including writing and editing emails, drafting memos, and preparing communications
- Schedule meetings and appointments, and coordinate travel arrangements
- Develop and implement systems and procedures to improve the Agent's productivity and efficiency
- Provide high-level, confidential support to the Agent, including managing content creation and analytics
- Manage pre- and post-event logistics, including travel and product sales
- Welcoming visitors and directing them to the appropriate department
- Facilitating and following up on sales and appointments
- Organizing meetings, including scheduling, sending reminders, and coordinating catering
- Travel and event arrangements for the Agent
- Personal duties for the Agent, as assigned
- Minimum 2 years of administrative experience
- Able to travel to all parts of the US and/or internationally
- Flexibility, dependability, and adaptability
- Excellent oral, written, and interpersonal communication skills
- Excellent organizational skills and ability to process and manage projects in a fast-paced environment
- Discretion and trustworthiness
- Driven, professional, proactive, and autonomous
- Quick thinker and creative
- Self-motivated, results-oriented, and strong attention to detail
- Proven ability to work in a fast-paced, always-changing environment
