Job Overview

This pivotal position is responsible for delivering exceptional administrative support to Financial Advisors, as well as their current and prospective clients, alongside other branch personnel.

The perfect candidate will possess strong communication skills across various platforms (telephone, email, in-person, virtual) and demonstrate the ability to organize, manage, and track numerous detailed tasks and assignments amidst frequently shifting priorities and deadlines in a dynamic, task-driven environment.

Key Responsibilities


Act as the primary point of contact for a high volume of daily interactions, addressing basic inquiries, providing quotes, and scheduling meetings with both prospective and existing clients through various communication channels.

Assist in managing and standardizing best practices for diverse activities, including new client onboarding, significant client liquidity events, and monitoring private placement investments.

Engage in trading activities for both discretionary and non-discretionary products, including model maintenance and performance tracking.

Support the servicing of alternative investments and international accounts, encompassing setup and ongoing maintenance.

Participate in live meetings alongside Financial Advisors and their respective clients as needed.

Oversee budgeting and tracking of Financial Advisor expenditures.

Generate reports to enhance practice efficiencies, identify key performance metrics, and assist in implementing processes to improve team performance.

Onboard new clients, establish new client accounts, and conduct research on client and security information utilizing internal databases and other technologies.

Ensure that essential client information and documentation comply with firm and industry standards, rules, and regulations.

Work both independently and collaboratively within a dynamic team environment to provide vital support to financial advisors and the branch office.

May solicit orders from clients under the direction of the Financial Advisor and receive unsolicited orders, entering trades as directed.

Assist Financial Advisors with marketing initiatives, including seminars, mail campaigns, and other client-focused events.

Actively participate in available training, cross-training, and professional development opportunities to stay current on firm and industry policies and procedures.

Serve as a mentor and resource for junior team members, managing team workflow and striving to create greater operational efficiencies.

Perform additional duties and responsibilities as assigned.

Qualifications

Knowledge, Skills, and Abilities
Familiarity with the company's structure, policies, mission, and strategies.
Understanding of managed account platforms and general office practices.
Comprehension of advanced investment concepts, practices, and procedures within the securities industry.
Awareness of financial markets, products, and industry regulations.
Proficiency in trading terminology.

Skills in:
Client Relationship Management (CRM) software or similar contact management tools.
Goal planning software.
Excel, including the ability to develop spreadsheets for ongoing reporting.

Ability to:
Operate standard office equipment and utilize required software applications for correspondence, reports, electronic communication, spreadsheets, and databases.
Analyze and research account information effectively.

Organize, manage, and track multiple detailed tasks and assignments while adapting to frequently changing priorities and deadlines in a fast-paced environment.

Identify time-sensitive items and evaluate competing priorities.

Take initiative and proactively follow up on submitted items to ensure completion; resolve errors, questions, or concerns.

Handle stressful situations while providing a high level of customer service in a calm and professional manner.

Analyze problems and develop solutions in a fast-paced environment.

Utilize mathematics to process account and transaction information.

Employ appropriate interpersonal styles and communicate effectively, both orally and in writing, with all organizational levels, in person and virtually.

Work independently as well as part of a cohesive team.

Educational/Previous Experience Requirements

High School Diploma or equivalent, with five (5) years of experience in the financial services industry.
OR an equivalent combination of experience, education, and/or training as approved by Human Resources.

Licenses/Certifications
Securities Industry Essentials (SIE) required unless an exemption or grandfathering applies.
Series 7 required.
Series 63, 65, and/or 66 as mandated by state regulations.
Ability to obtain additional securities and advisory state registrations as required by state law.
