Position Overview

The successful candidate will be a meticulous problem solver with exceptional communication abilities, adept at managing multiple responsibilities in a dynamic environment.

This position entails delivering administrative assistance to Financial Advisors and clients through various communication channels, including phone, email, and face-to-face interactions. The role requires adaptability to shifting priorities while maintaining efficiency in a fast-paced setting.

Key Responsibilities
  • Manage a substantial volume of daily client interactions, addressing inquiries, scheduling appointments, and providing estimates.
  • Establish standardized best practices for client onboarding and investment oversight.
  • Support trading activities, model upkeep, and performance evaluation.
  • Oversee alternative investments, international accounts, and client setup processes.
  • Engage in client meetings alongside Financial Advisors.
  • Monitor and manage Financial Advisor expenditures.
  • Create reports aimed at enhancing practice efficiency and implementing strategies for team performance improvement.
  • Facilitate the onboarding of new clients, account openings, and research client data.
  • Ensure adherence to industry regulations and organizational requirements.
  • Work autonomously and collaboratively to provide effective support to Financial Advisors.
  • Assist in marketing efforts, seminars, and client events.
  • Participate in training and development initiatives to remain informed about industry standards.
  • Act as a mentor to junior team members, fostering operational efficiency within the team.
  • Execute other assigned responsibilities as necessary.
Qualifications Knowledge, Skills, and Abilities
  • Understanding of the company's structure, policies, and industry strategies.
  • Familiarity with office practices, procedures, and investment principles.
  • Knowledge of financial markets, products, and trading terminology.
Skills
  • Proficiency in Client Relationship Management (CRM) software and goal-setting tools.
  • Expertise in using Excel for reporting and communication across diverse platforms.
Abilities
  • Operate office equipment and software applications effectively.
  • Analyze and investigate account information proficiently.
  • Handle multiple tasks with shifting priorities in a fast-paced environment.
  • Communicate clearly and deliver outstanding customer service.
Educational and Experience Requirements
  • High School Diploma with a minimum of 5 years in financial services.
  • OR an equivalent combination of experience and education as approved by Human Resources.
Licenses and Certifications
  • Securities Industry Essentials (SIE), Series 7, and any additional state registrations as required.
