Job Overview

Position Summary:

The Administrative Support Specialist plays a vital role in assisting the Office Manager in daily operations.

Key Responsibilities: (Additional tasks may be assigned)

  • Maintains and updates records in logbooks.
  • Generates and organizes reports and documentation.
  • Processes orders for products or services.
  • Welcomes and assists visitors to the office.
  • Provides assistance and information to clients, employees, and sales representatives.
  • Handles customer complaints and escalates issues to the appropriate personnel when necessary.
  • Prepares and distributes receipts, invoices, policies, and other financial documents.
  • Conducts inventory assessments.
  • Manages incoming and outgoing mail, including correspondence.
  • Orders and manages office supplies.

Qualifications:

  • High School Diploma or equivalent (GED).

Skills and Competencies:

  • Strong organizational and detail-oriented skills.
  • Excellent communication and interpersonal abilities.
  • Effective time management and organizational skills.
  • Proficient problem-solving and analytical thinking skills.
  • Familiarity with dealership documentation.
  • Basic financial and accounting knowledge.

Tools and Technology:

  • Proficient in Microsoft Office Suite, including Word, Outlook, PowerPoint, and Excel, as well as CDK software.

Physical and Mental Requirements:

  • Ability to perform various physical activities, including sitting, standing, walking, and using hands for tasks.
  • Requires mental focus and visual attention for data analysis and computer work.

Physical Demands:

  • May require lifting up to 20 pounds occasionally and up to 10 pounds frequently.
  • Involves light physical activity, including sitting and standing for extended periods.

Work Environment:

  • Office-based work environment.
  • May require occasional evening or weekend hours.

Safety Considerations:

  • Potential hazards include slips, trips, falls, and ergonomic injuries.
  • Safety measures include regular breaks for stretching and training on safe practices.
