The Sales Operations Coordinator will support Sales Representatives and Buyers in various aspects of the sales, procurement, and customer service processes, facilitating a comprehensive understanding of our operations at John Vena Inc. Responsibilities will include collaborating with the sales and marketing teams to distribute general and client-specific pricing information and sales proposals. Additionally, this role involves coordinating transportation for outgoing produce orders, managing inventory procurement, entering data into our systems, and generating sales tickets and Bills of Lading.
Administrative tasks will also be part of the role, including data collection and reporting, which may encompass sales and expense reports, as well as updating databases for current and potential customers. The Sales Operations Coordinator will also be responsible for handling incoming calls, directing inquiries appropriately, and processing customer orders when required.
Key Responsibilities
- Deliver exceptional customer service to both existing and prospective clients.
- Assist the sales team in updating the ordering system by inputting orders and adding new inventory.
- Prepare and manage shipping documents, including bills of lading and price confirmations for customer orders.
- Support the creation and distribution of current price lists and sales proposals.
- Help procure additional inventory to meet customer demands as necessary.
- Collaborate with the Director of Sales to gather data on internal sales and customer metrics, and report on team initiatives.
- Manage incoming phone calls to represent John Vena, Inc. effectively.
- Coordinate transportation for outgoing orders.
- Stay informed about market conditions to address customer inquiries regarding product availability, pricing, and trends.
- Follow up with customers to ensure timely fulfillment, shipping, and delivery of orders.
- Provide support to other customer-facing staff, such as cashiers and inventory control personnel.
- Participate actively in sales meetings and marketing/customer events.
- Perform other related duties as assigned, demonstrating flexibility and adaptability in work schedules and assignments based on departmental needs.
Qualifications
- Bachelor's Degree or equivalent experience required; advanced degrees are a plus.
- One to three years of experience in sales or customer-facing roles, including internships, preferred.
- Experience in the produce industry is advantageous.
- A strong desire to learn and develop a customer-focused career in agribusiness.
- Excellent written and verbal communication skills.
- Ability to communicate effectively with all organizational levels, customers, and vendors.
- Proven ability to work collaboratively within a team or independently with minimal supervision.
- Strong foundational math skills.
- Proficient in computer applications and software (Windows, Excel, Word, CRM systems).
- Meticulous attention to detail.
