Production Operations Coordinator

The Production Factory is a dynamic creative production agency founded in 2004. We are seeking a full-time Production Coordinator to become a vital part of our expanding team. This role is based in our New York office and focuses on producing still and motion content primarily for fashion and lifestyle clients from both the US and Europe. We are looking for an enthusiastic individual who is eager to grow with our US division. This position requires the candidate to be present on-site five days a week and offers opportunities for professional development within the company.

Key Responsibilities:

  • Assist the Executive Producer with various tasks and projects.
  • Provide support to the production team and fellow producers.
  • Collaborate with the Executive Producer and Producers on larger production projects.
  • Follow directives from the team, manage priorities, and maintain an organized task list.
  • Communicate timelines and progress updates to each producer.
  • Negotiate favorable rates with suppliers when possible.
  • Assist the production team with logistics and travel arrangements.
  • Help in booking creative teams, transportation, permits, visas, and carnets.
  • Contribute to casting and location presentations.
  • Support the production team with equipment requirements for all crew and departments.
  • Generate call sheets and manage smaller-scale shoots independently with guidance.
  • Organize and maintain production kits, ensuring timely stock replenishment.
  • Provide basic office support, including maintaining a tidy workspace and running errands.
  • Assist the Global Heads of Production and Executive Producer with research and presentation preparation for various projects.
  • Compile final images and films for sharing with the marketing department for social media and website use.
  • Support on-set activities as needed, both locally and nationally.
  • Reconcile invoices and assist the production team in maintaining accurate billing records, ensuring all receipts are documented.
  • Perform any additional duties relevant to the role as required.

Qualifications:

  • Experience in production environments, particularly in creative or agency settings.
  • Exceptional organizational skills.
  • Ability to effectively multitask and manage time efficiently.
  • Strong interest in the creative industry, including photography, modeling, and directing.
  • Familiarity with team optioning, model casting, and agent interactions.
  • Interest in location scouting and permitting processes.
  • Understanding of call sheets and production documentation.
  • Proficiency in Microsoft Office Suite, SharePoint, Google Docs, and Keynote.
  • A positive attitude and a collaborative spirit.
  • Ability to prioritize and communicate effectively under pressure.
  • Willingness to ask questions and take initiative.
  • Understanding of on-set roles and activities.
  • Flexibility to travel as needed, sometimes on short notice.
