Overview:
The SharePoint Solutions Team is dedicated to crafting and maintaining innovative technical solutions, collaborating with IT Teams and Business Stakeholders to enhance business process automation across the organization utilizing SharePoint Online and Power Automate. The SharePoint Solutions Analyst will play a pivotal role in developing, testing, implementing, supporting, and documenting solutions that leverage out-of-the-box SharePoint functionalities with minimal customization. This role will encompass various platforms, including Microsoft Teams, SharePoint, Power Platform, and Azure solutions.
As a SharePoint Solutions Analyst, your responsibilities will include comprehending business processes, gathering requirements within the framework of out-of-the-box SharePoint Online (SPO), and translating these requirements into a Business Requirements Document (BRD) in line with Microsoft’s best practices for SharePoint development. This will involve conducting interviews with business stakeholders and subject matter experts to elicit and clarify user requirements as necessary. You will work closely with the Project's Business Systems Analyst and Business Stakeholders to ensure that all developed forms and applications are transitioned to production smoothly.
You will also be tasked with familiarizing yourself with existing solutions while continuously assessing requirements against the current functionality of the solutions. This includes providing recommendations for enhancing user experience by conducting gap analyses, identifying viable alternative solutions, and assisting in the scope of modifications within the constraints of out-of-the-box SharePoint functionality. To ensure quality control, experience in creating, developing, configuring, and customizing SharePoint Online out-of-the-box solutions using Sites, Site Pages, and Libraries according to company standards is essential for producing technical documentation that adheres to SharePoint capabilities.
Key Responsibilities:
- Capture, analyze, and document business requirements, workflow processes, process enhancements, and reporting needs, considering standard out-of-the-box functionality in SharePoint Online.
- Validate that collected requirements are effectively incorporated and tested as solutions are developed.
- Translate business requirements into technical specifications in collaboration with the technical team.
- Collect and document workflow requirements, notification needs, and reporting requirements for each component of the solution.
- Document and obtain approval for requirements from management, developers, and business sponsors.
- Maintain effective communication with IT management, project managers, and team members.
- Trace requirements to deployed solutions to ensure all specifications are met. Participate in development, testing, and deployment processes as needed.
- Develop test plans and create use cases and test scripts. Coordinate functional, accessibility, and user acceptance testing, managing bug resolution as necessary.
- Provide status updates and reporting during team meetings while adhering to project schedules, deadlines, milestones, and budgets.
- Assist in the creation of training documents and user documentation.
- Create and review Technical Requirements Documents, maintaining and updating them as necessary to capture all technical details for troubleshooting.
- Document designed technical solutions in SharePoint and Power Platform (Power Apps and Power Automate) by creating required Runbooks.
- Conduct development testing prior to handing off unit testing to developers and SharePoint administrators.
- Continuously evaluate existing applications and platforms, providing recommendations for improving application performance through gap analysis and identifying feasible alternative solutions.
- Adhere to company standards and procedures, ensuring compliance with required technical documentation including BRD, Runbooks, and training documents.
- Troubleshoot SharePoint issues related to in-house SharePoint/Power Automate solutions.
- Provide support throughout the full systems life cycle to ensure timely and budget-compliant delivery of application software solutions.
- Participate in the deployment of new SharePoint/Power Automate application upgrades and fixes to the production environment as needed.
- Provide production support; troubleshoot existing information systems to identify errors or deficiencies in developed solutions and document potential next steps.
- Team Responsibilities:
- Collaborate effectively to meet targeted timelines for team projects while managing assigned work independently, emphasizing accuracy and attention to detail.
- Meet regularly with team members to discuss current and planned activities, document risks and issues, and report progress across all development efforts.
- Participate in collaborative technical assessment sessions to ensure application development adheres to company standards.
- Work and schedule sessions with peer developers and Business Systems Analysts to transition business process automations to production.
- Collect business sign-off for developed solutions, including unit testing sign-off with developers and UAT sign-off from business stakeholders.
- Regularly engage in technical working sessions with senior Business Systems Analysts and peer SharePoint/O365 developers to strategize technical solutions.
- Analyze and interpret complex problems or processes that span multiple business areas, identifying and understanding requirements to develop SharePoint/Power Automate solutions using out-of-the-box functionality, customizing only as a last resort.
- Proficient in BABOK or other relevant Business Analyst certifications.
- Experienced in SharePoint Online, including site collection administration, site design, and customization. Familiarity with the M365 Power Platform (Power Apps, Power Automate, Power BI) is essential.
- Proven ability to collaborate closely with end users and customers to gather requirements and deliver effective solutions. Strong problem-solving skills with the capability to dissect complex issues and develop innovative solutions.
- Excellent communication, collaboration, and leadership abilities. A positive attitude and a customer-focused approach are vital. Experience in an agile environment is preferred.
- Strong organizational and time management skills, with the ability to juggle multiple priorities and projects.
- An associate degree in information technology is preferred.
- 2-3 years of experience with Microsoft (Office) 365 Suite.
- 2-3 years of experience delivering Forms/Applications in collaboration with project teams.
- 2-3 years of experience utilizing SharePoint Online to deliver out-of-the-box solutions, including Forms, Home Landing Pages, and Dashboards (using SharePoint Lists/Libraries/Views).
- 2+ years of experience in unit testing, with a solid understanding of the Software Development Life Cycle (SDLC).
- 2+ years of experience in a SharePoint Administrator role, with in-depth knowledge of SharePoint Online fundamentals such as Sites (classic and modern), apps, audiences, libraries, lists, views, forms, workflows, metadata, and web parts.
