Summary/Purpose

The Administrative Coordinator plays a vital role in ensuring the efficient functioning of office operations. Reporting directly to the Director of Accounting & Business Services, this full-time position is essential for providing support to staff, students, and visitors. The incumbent will manage various responsibilities related to office coordination, administrative assistance, and special projects, requiring exceptional organizational abilities and attention to detail.

Key Responsibilities

Office Management:

  • Welcome and assist visitors at the front desk, ensuring a positive first impression.
  • Monitor student traffic in and out of the building.
  • Oversee daily office functions, including email management and correspondence.
  • Coordinate the receipt and distribution of packages from various vendors.
  • Maintain an inventory of office supplies and reorder as necessary.
  • Manage access for staff through the distribution of office keys and access cards.
  • Ensure a clean and organized office environment that promotes productivity.
  • Collaborate with building management for necessary maintenance and repairs.
  • Assist Program Managers in planning and coordinating events, including catering and supply orders.
  • Reconcile monthly expenses for reimbursement and process purchase orders.
  • Support technology needs in the conference room, including video conferencing tools.
  • Foster and maintain relationships with vendors.
  • Handle fiduciary responsibilities related to postage and funds.

Additional Duties:

  • Assist with special projects and initiatives as directed by management.
  • Adhere to organizational policies and maintain confidentiality of sensitive information.

Supervisory Responsibilities

  • This position does not have supervisory responsibilities but will manage expectations for staff and students.

Work Environment

This role is performed in a standard office setting and requires onsite presence.

Physical Requirements

The position involves routine use of standard office equipment and requires the ability to sit for extended periods.

Position Type and Work Hours

This is a full-time, non-exempt position under applicable labor laws. Standard hours are Monday through Friday.

Travel Requirements

Occasional local travel may be necessary.

Education & Experience Requirements

  • High School Diploma or GED is required.
  • A minimum of three years of experience in an office setting.
  • Strong technical skills, particularly in Microsoft Office applications.

Preferred Qualifications

  • Associate's degree or equivalent experience.
  • 3-5 years of experience in an office environment.
  • Proficient in Microsoft Office, including Outlook, Word, PowerPoint, and Excel.
