Job Overview
The DC Department of Human Resources is dedicated to enhancing the quality of services provided to all residents. Our mission focuses on improving operational efficiencies and fostering an environment conducive to learning and growth.

This role is situated within the Department and reports directly to the Assistant Superintendent in the Division of Teaching and Learning.

The incumbent will function as an Administrative Coordinator, assisting in various initiatives, including special projects and events that recognize outstanding educators.

Key Responsibilities
The Administrative Coordinator will:

  • Oversee all scheduling activities for the Assistant Superintendent, managing requests and ensuring efficient time management.
  • Welcome and guide clients and stakeholders, acting as a representative of the Assistant Superintendent.
  • Handle incoming communications, including phone calls and correspondence, ensuring timely responses and forwarding inquiries to appropriate staff.
  • Review documents for accuracy and completeness before they are presented for the Assistant Superintendent's signature, suggesting necessary edits.
  • Maintain consistent practices and procedures among staff to align with agency standards.

Additional Duties
The Administrative Coordinator will also:

  • Coordinate travel arrangements and manage travel-related requests for conferences and training.
  • Process reimbursement requests efficiently on behalf of the Assistant Superintendent.
  • Establish and uphold office systems and procedures, ensuring administrative tasks are completed accurately and promptly.
  • Organize and maintain a systematic filing system to support the Assistant Superintendent's operations.
  • Assist in monitoring compliance with regulations and procedures among support staff.
  • Address administrative inquiries and challenges presented by team members.
  • Execute a variety of routine and complex tasks essential to the agency's mission.
  • Prepare various forms of correspondence based on brief instructions, utilizing office technology.
  • Support the planning and execution of annual events that honor exemplary educators.

Qualifications
Applicants should possess at least one (1) year of specialized experience relevant to the responsibilities of this position. Specialized experience should demonstrate the ability to analyze problems and communicate effectively, both verbally and in writing.

Working Environment
This position is typically performed in an office setting.
