Position Overview

This position is tasked with delivering comprehensive administrative support to two Chief Executive Officers. The successful candidate will demonstrate outstanding multitasking capabilities, excellent communication skills, and the ability to manage sensitive information with discretion. This role demands a proactive and adaptable individual who can efficiently balance the administrative needs of both executives.

Key Responsibilities

Calendar Coordination
  • Organize meetings, appointments, and travel logistics for both executives, ensuring optimal time management.
Communication Management
  • Oversee and prioritize incoming communications, including emails and phone calls.
  • Draft and review correspondence on behalf of the executives.
Meeting & Travel Logistics
  • Prepare meeting agendas, materials, and presentations.
  • Document meeting minutes and distribute them appropriately.
  • Follow up on action items and deadlines to ensure timely execution.
  • Coordinate travel arrangements, including flights, accommodations, and transportation.
  • Create detailed itineraries and manage travel expenses.
Information & Relationship Management
  • Maintain confidentiality and handle sensitive information with care.
  • Organize and manage both electronic and physical files.
  • Foster positive relationships with internal and external stakeholders.
  • Address inquiries and redirect them as necessary.
Event Coordination & Office Support
  • Assist in planning and coordinating company events, conferences, and meetings.
  • Provide general administrative support, including document management and expense tracking.
  • Support basic office administration tasks such as supply management and record-keeping.
  • Contribute to various special projects and initiatives as directed by the executives.
Ideal Candidate Profile
  • Associate degree in business administration or a related field is preferred.
  • 5+ years of proven experience as an executive assistant or in a similar capacity, ideally supporting high-level executives.
  • Experience managing multiple executives simultaneously is advantageous.
  • Strong organizational and multitasking skills to effectively handle diverse priorities.
  • Exceptional written and verbal communication skills for effective interaction with executives and stakeholders.
  • Proficiency in Microsoft Office Suite and adaptability to new technologies.
  • Experience in PEO or HR Shared Services is preferred.
