Position Summary:

The HR Assistant plays a vital role in supporting the HR department, catering to the needs of over 250 employees. This position will assist the HR Generalist with various tasks, including time and attendance management, staffing requirements, and personnel issues at the site level. Responsibilities may encompass recruitment, training, employee relations, affirmative action, recognition programs, and safety initiatives, all while upholding strict confidentiality.

Key Responsibilities:

  • Conducts HRIS data entry and generates reports, including maintaining records for temporary employees.
  • Translates HR documents into Spanish and provides verbal translation support as needed.
  • Addresses common inquiries from employees and managers regarding policies, benefits, and hiring processes, escalating complex issues to senior HR staff.
  • Assists in employee relations investigations, ensuring confidentiality is maintained.
  • Supports the recruitment process by reviewing candidate qualifications, sharing resumes, and conducting reference checks.
  • Ensures compliance with new hire I-9 documentation and maintains current records.
  • Audits and processes invoices for various service providers.
  • Completes termination documentation and may assist with exit interviews.
  • Handles reference checks and employment verification requests.
  • Creates and distributes orientation materials for new hires.
  • Facilitates new hire orientation and assists with onboarding paperwork.
  • Assists in benefits administration, including gathering missing information and responding to employee inquiries during open enrollment.
  • Maintains the confidentiality and integrity of HR files and records, conducting periodic audits to ensure compliance.
  • Supports employee engagement activities and events.
  • Performs various administrative tasks for the HR department, such as filing, faxing, and ordering supplies.
  • Contributes to HR research projects and special initiatives as required.
  • Undertakes additional duties as assigned.

Qualifications:

  • High School Diploma or GED equivalent is required.
  • Bilingual proficiency in Spanish, both verbal and written, is essential.
  • A minimum of 2 years of experience in a similar role, such as office or HR administration.
  • Willingness to work overtime as necessary.
  • Proficient in Microsoft Office Suite and Outlook.
  • Experience with HRIS systems is preferred, with ADP WFN being a plus.
  • Strong written and verbal communication skills.
  • Exceptional customer service abilities.
  • Excellent organizational skills with attention to detail.
  • Capability to manage multiple tasks with competing priorities.
  • Able to work collaboratively in a team-oriented environment.
  • Strong interpersonal skills to handle sensitive situations with professionalism and discretion.
