Position Location: This role requires full-time on-site presence.

Role Summary:

The HR Assistant will manage a variety of responsibilities within the Human Resources department, supporting over 250 employees. This position will also assist the HR Generalist with time and attendance management, temporary staffing, and various personnel matters at the site level. Responsibilities may encompass several functional areas, including recruitment, training, employee relations, affirmative action, employee recognition, and safety initiatives, all while upholding strict confidentiality.

Key Responsibilities:
  • Conducts HRIS data entry and generates reports, including maintaining records for temporary employees.
  • Translates HR documents into Spanish and provides verbal translation support as required.
  • Addresses common inquiries from employees and managers regarding policies, benefits, and hiring processes, escalating complex issues to senior HR personnel.
  • Assists in employee relations investigations, ensuring confidentiality is maintained.
  • Supports the recruitment process by evaluating candidates and qualifications, sharing resumes with hiring managers, and conducting reference checks.
  • Ensures compliance with new hire I-9 requirements and maintains current I-9 documentation.
  • Audits and processes invoices for various vendors.
  • Completes termination documentation and may assist with exit interviews.
  • Responds to requests for employment verification and reference checks.
  • Creates and distributes orientation packets for new hires.
  • Facilitates new hire orientation and assists with onboarding paperwork.
  • Supports benefits administration by collecting necessary information and addressing basic employee inquiries.
  • Maintains the confidentiality and integrity of HR files and records, conducting periodic audits to ensure compliance.
  • Assists with employee engagement activities and events.
  • Performs various administrative tasks for the HR department, including filing, faxing, and ordering supplies.
  • Contributes to HR research projects and special initiatives as needed.
  • Undertakes additional related duties as assigned.
Qualifications:
  • High School Diploma or GED equivalent required.
  • Bilingual in Spanish, both verbal and written, is essential.
  • Minimum of 2 years of experience in a similar role, such as office or HR administration.
  • Availability for overtime as needed.
  • Proficient in Microsoft Office Suite and Outlook.
  • Experience with HRIS systems preferred, particularly ADP WFN.
  • Strong written and verbal communication skills.
  • Excellent customer service abilities.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects with competing deadlines.
  • Team-oriented with strong interpersonal skills.
  • Capable of handling sensitive and confidential situations with professionalism.
