Location: NCW Libraries, Headquarters

FLSA Status: Non-Exempt

Position Type: Full-Time

Salary Range: $26.89 - $36.14/hour

Summary:
The Administrative Assistant plays a crucial role in managing confidential and administrative responsibilities to assist the Executive Director, Board of Trustees, and Executive Team. This position requires professional communication with community stakeholders and the public. Key responsibilities include:

  • Managing schedules and coordinating meetings.
  • Drafting formal communications and documentation.
  • Facilitating monthly meetings for the Board of Trustees and committees.
  • Serving as the public records officer for the library district.

This role is directly supervised by the Executive Director and may involve overseeing special projects as directed.

Key Responsibilities:

Support for Executive Director:

  • Provide comprehensive administrative support, including preparing meeting materials and managing the Executive Director's calendar.
  • Coordinate logistics for meetings and events, ensuring smooth operations.
  • Collaborate with the Communications Manager on various publications and communications.

Board of Trustees Coordination:

  • Organize monthly meetings, including drafting agendas and preparing meeting packets.
  • Record and disseminate formal minutes and resolutions in compliance with state regulations.
  • Assist in planning board events and ensure effective communication with board members.

General Duties:

  • Act as the Public Records Officer, responding to requests as per the Public Records Act.
  • Maintain library policies and procedures, ensuring accuracy and compliance.

Customer Service:

  • Deliver exceptional service to all inquiries and requests.
  • Handle sensitive information with confidentiality and professionalism.

Professional Development:

  • Enhance skills in organizational efficiency and customer service.
  • Stay updated on library policies and participate in relevant professional development opportunities.

Qualifications:

  • Bachelor's degree from an accredited institution or equivalent experience.
  • Five years of progressively responsible administrative support experience, including two years at the executive level.
  • Valid driver's license in the State of Washington.
