Position Overview:

This role involves close collaboration with the Deputy Associate Superintendent and Director of the 21st Century Community Learning Centers (CCLC) to oversee the operations of the 21st CCLC offices. The incumbent will engage in a range of administrative and business management tasks that support the execution of administrative decisions while exercising sound judgment.

Key Responsibilities:

  • Provide comprehensive administrative assistance to the 21st CCLC Director and project leads.
  • Support the Deputy Associate Superintendent and Director in various program and agency initiatives through diverse communication methods, including in-person and digital platforms.
  • Oversee the design, content, and maintenance of the 21st CCLC website and FAQs, serving as a vital resource for grant recipients regarding federal and state regulations.
  • Develop and deliver training sessions for staff on policies, procedures, and new tools to enhance operational efficiency.
  • Manage incoming communications, directing calls and emails to the appropriate team members.
  • Create and format all reports, handbooks, grant applications, and guidance documents in accordance with branding standards, ensuring clarity and accuracy.
  • Compile reports detailing project progress to meet state and federal requirements, including data on program and grant recipient performance.
  • Establish tracking systems to monitor project timelines, deadlines, and ensure proper documentation of team activities.
  • Facilitate orientation for new employees and coordinate shared departmental resources.
  • Plan and manage events related to 21st CCLC initiatives, including securing presenters and producing event materials.

Required Knowledge, Skills, and Abilities:

  • Familiarity with systems such as the Arizona Procurement Portal, Events Management System, and Grants Management Enterprise.
  • Basic understanding of accounting principles and data analysis.
  • Proficient in English grammar and punctuation.
  • Experience with office technology and communication systems.
  • Demonstrated administrative support experience is essential.

  • Strong verbal and written communication abilities.
  • Excellent organizational and multitasking skills.
  • Effective time management.
  • Intermediate proficiency in Microsoft Office Suite and other relevant software.
  • Administrative competencies including scheduling, coordinating, and editing.

Preferred Qualifications:

A Bachelor's degree in a relevant field from an accredited institution is preferred.
