Position Overview

The Project Coordination Specialist role is chiefly accountable for ensuring precise project documentation and delivering administrative support to the project management team. This position entails organizing project materials, coordinating project initiatives, and providing administrative assistance.

Key Responsibilities

Document Management:

  • Organize and maintain project documentation, including drawings, specifications, RFIs, submittals, equipment delivery logs, change orders, contracts, and correspondence.
  • Establish and oversee document management systems, ensuring the accuracy and integrity of project records.
  • Implement document numbering, filing, and retrieval protocols.
  • Monitor document modifications, revisions, and approvals.
  • Ensure adherence to document retention and archiving standards.

Project Coordination:

  • Support project managers in coordinating project activities, timelines, and resources.
  • Track project schedules and deadlines, notifying the team of potential delays.
  • Maintain and update project management software and databases.
  • Manage tax abatement documentation as required.

Administrative Assistance:

  • Provide administrative support to project/construction managers, including scheduling meetings, preparing agendas, and managing correspondence.
  • Prepare and disseminate project-related reports and presentations.
  • Oversee project-related expenses and budgets.
  • Assist with procurement tasks, such as preparing orders and tracking deliveries.
  • Coordinate travel arrangements and accommodations for project team members.

Communication:

  • Facilitate communication within project teams and with external stakeholders.
  • Maintain project contact lists and distribute updates as necessary.
  • Ensure effective communication and collaboration among team members.

Quality Control:

  • Review project documents for accuracy and completeness.
  • Conduct regular audits of project documentation to identify discrepancies or errors.
  • Implement quality assurance measures to ensure document precision.

Qualifications and Skills

  • Bachelor's degree in business administration, project management, or a related discipline (preferred).
  • A minimum of 2 years of experience in document management, project coordination, or administrative support.
  • Proficiency in document management software and tools.
  • Exceptional organizational and time management abilities.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Ability to work independently and collaboratively within a team.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management software is advantageous.
  • Capacity to adapt to shifting priorities and meet deadlines.
