Job Overview

POSITION SUMMARY


As a Program Coordinator, you will take charge of strategizing, outlining, and executing both internal and external program initiatives. Your role will involve establishing program objectives and success criteria that will be effectively communicated to all team members, while inspiring each individual to achieve their personal and collective goals.

You will serve as a key point of contact between the project team and senior management, as well as with clients. Regular progress reports will be prepared and presented to various stakeholders within the organization.

Collaboration with all team members is essential to ensure that programs are completed on schedule and within the allocated budgets.

Working in a diverse and multicultural environment, you will engage with a wide range of educational backgrounds and experiences, from entry-level to senior professionals both within and outside the organization.

Under the guidance of the Chief Operating Officer and aligned with company objectives, this role encompasses, but is not limited to, the following responsibilities:


Key Responsibilities

  • Develop and nurture the program team to ensure optimal performance by providing clear direction, purpose, and motivation.
  • Lead programs from the initial requirements gathering through to deployment, including schedule creation, scope definition, budget estimation, and risk management.
  • Engage with clients or internal stakeholders to gather detailed information and clarify specific program requirements.
  • Assign, coordinate, and oversee internal and external projects to adhere to scope, timeline, and budget, ensuring efficiency and maximizing deliverables.
  • Monitor individual project performance as well as the overall program schedule, which encompasses all projects within our enterprise portfolio.
  • Assess project status and, when necessary, adjust the scope, timeline, or budget to meet program requirements.
  • Responsible for identifying resource and task conflicts across all enterprise projects.
  • Anticipate resource needs to achieve objectives and manage resources effectively and efficiently.
  • Address challenges, identify trends, and propose improvements to systems or processes, along with implementation strategies.
  • Create comprehensive and detailed program plans for internal or external sharing.
  • Provide regular updates to various stakeholders regarding strategy, adjustments, and progress.
  • Evaluate program performance to pinpoint areas for enhancement.
  • Utilize visual tools or applications to clarify messages and track performance indicators.
  • Prepare status reports, meeting notes, and action plans.
  • Undertake special projects as assigned by the Chief Operating Officer.

Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Project Management Professional (PMP) certification is preferred.
  • 6-8 years of relevant experience in program management, with familiarity in FDA 820 Design Control Methodologies preferred.
  • Experience in process improvement and/or root cause analysis methodologies.
  • Self-motivated, professional, organized, and detail-oriented individual with excellent communication skills.
  • Proven ability to creatively solve problems.
  • Strong knowledge of project management software tools, methodologies, and best practices.
  • Experience managing projects through their entire lifecycle.
  • Exceptional interpersonal skills and resourcefulness.
  • Advanced time management and analytical skills are essential.
  • Commitment to delivering superior quality and professional service.
  • Ability to handle confidential information with professionalism.
  • Capability to work independently and collaboratively in a team environment while effectively prioritizing multiple tasks.
  • Proficiency in applications such as Word, Excel, PowerPoint, and Microsoft Project.
  • Demonstrated ability to complete projects within defined scope, budget, and timeline.
  • Experience in the animal health or pharmaceutical industry is advantageous.
  • Experience in a GMP, FDA regulated, or ISO 9000 certified environment is a plus.
