Position Overview:
This role involves close collaboration with the Office of English Language Acquisition Services (OELAS) and the Migrant Education Program (MEP) leadership to facilitate various events, provide technical support, and deliver professional development training sessions.
Key Responsibilities:
- Assist in organizing events, providing technical support, and coordinating professional development training.
- Manage event listings on the ADE Calendar of Events.
- Oversee scheduling and administration of events within the ADE Professional Learning and Development (APLD) system, including payment processing and handling cancellations.
- Act as the primary contact for participants, addressing inquiries regarding registration, substitutions, cancellations, and waitlists.
- Monitor participant registration and manage venue contracts.
- Ensure proper venue setup and participant management on event days.
- Handle all procurement processes related to venues, presenters, promotional materials, and vendors.
- Coordinate travel arrangements for OELAS & MEP staff, including conferences and project visits.
- Assist with onboarding and offboarding processes for new employees.
- Serve as a liaison between OELAS & MEP and other units within the Arizona Department of Education.
Required Knowledge, Skills, and Abilities:
Candidates should possess:
- Expertise in preparing budgets and managing resources for conferences.
- Proficiency in using procurement systems for requisitions and invoices.
- Understanding of conference management, including budget oversight and promotional material development.
- Strong communication skills, both verbal and written.
- Intermediate to advanced skills in Microsoft Outlook, Word, and Excel.
- Analytical skills for budgeting and program evaluations.
- Ability to work independently and collaboratively, effectively communicate with diverse audiences, and resolve routine issues.
