The Florence Project, established in 1989, addresses the representation crisis for low-income non-citizens detained at rural Immigration and Customs Enforcement (ICE) facilities. Our programs currently assist thousands of individuals, including adults, youth, and children, detained across various locations in Arizona. In 2001, we launched our Integrated Social Services Program, pioneering comprehensive support in this sector. The Florence Project is committed to delivering exceptional legal and social services while advocating for transformative changes in immigration law and policy.

Position Summary:
The Legal Support Coordinator will deliver administrative assistance to the Children's Program. Responsibilities encompass data entry, file management (both physical and digital), compiling court submissions, organizing Records of Proceeding, requesting documentation, scheduling critical events and deadlines, and managing correspondence. This role also involves supporting attorneys with legal matters and providing additional administrative help as required. The position may require travel between different office locations.

Key Responsibilities:

  • Administrative Assistance:
    Establish and maintain an efficient system for responding to administrative requests from legal personnel. Prepare and manage court document filings and copies for legal staff and clients. Handle incoming and outgoing calls related to the Children's Program.
  • Calendar Management:
    Upon receiving notices for hearings or deadlines, ensure that dates are accurately recorded in client folders and team calendars, and send necessary calendar invitations.
  • Case Management:
    Collaborate with the Children's Program Management Team to develop and implement procedures for case openings, closings, and transfers. Ensure consistency in case management tasks, including database updates and document preparation.
  • Data Management:
    Input essential organizational and client data into various databases, assist with data requests, and ensure data accuracy through regular reviews. Develop training materials for legal staff on data entry protocols.
  • Additional Duties:
    Engage in special projects, training sessions, or presentations as assigned, and perform other related tasks as necessary.

Qualifications:

  • High School diploma or equivalent experience.
  • Fluency in Spanish is preferred.
  • Commitment to advocating for low-income immigrant clients and supporting the mission of the Florence Project.
  • Strong interpersonal skills and the ability to work with diverse populations.
  • Excellent organizational skills and attention to detail.
  • Proficient in standard office software and capable of managing multiple projects.

Working Environment:
This position operates in a professional office setting, requiring the ability to sit for extended periods and use standard office equipment. Travel between office locations may be necessary.
