Position Overview:
The University of Iowa Hospitals and Clinics is in search of a dedicated Patient Scheduling Coordinator. This role is essential in managing patient appointments and inquiries for the Department of Ophthalmology across various sub-clinics, ensuring that patients are directed to the appropriate department based on their needs and urgency.

Key Responsibilities:

  • Handle incoming calls for multiple clinics, providing exceptional customer service.
  • Schedule, cancel, and reschedule patient appointments through effective communication and negotiation.
  • Coordinate appointments with other clinics to ensure seamless patient care.
  • Verify and update patient demographics, insurance, and caregiver information as necessary.
  • Collaborate with nursing staff to facilitate same-day urgent appointments.
  • Support the lead coordinator in monitoring scheduling templates and workflows.
  • Assist with insurance preauthorization processes and identify self-pay patients, coordinating with financial counseling.
  • Respond to inquiries regarding clinic procedures in accordance with departmental guidelines.
  • Manage outpatient appointment scheduling on a daily basis, ensuring alignment with physician availability and patient needs.
  • Facilitate appointments for patients referred by outside physicians.
  • Utilize various communication methods to confirm appointments and provide necessary preparatory instructions to patients.
  • Maintain and manage work queues effectively, addressing any issues promptly.
  • Serve as a patient advocate, anticipating needs and resolving scheduling challenges.
  • Perform additional duties as assigned to support departmental operations.

Work Environment:
This position is performed fully on campus, contributing to a collaborative healthcare environment.

Qualifications:

  • A Bachelor's degree or equivalent combination of education and experience.
  • 6 months to 1 year of administrative experience, preferably in a healthcare setting.
  • Strong patient-centered approach and advocacy skills.
  • Ability to anticipate and address potential issues with sound judgment and problem-solving skills.
  • Excellent organizational skills with attention to detail and the ability to manage multiple tasks efficiently.
  • Proficient in written and verbal communication, capable of producing clear and concise documentation.
  • Familiarity with computer software applications, particularly Microsoft Office.

Desired Experience:

  • Three or more years of administrative support experience in healthcare and academic settings.
  • Experience managing multiple calendars and scheduling tasks.
  • Background in planning and organizing meetings and events.

Compensation:
This position is classified at a pay level of 3A.
