Key Responsibilities- Data Entry and Record-Keeping: Manage all data entry related to Accounts Payable (AP) and Accounts Receivable (AR) processes, ensuring accurate setup and maintenance of records.
- Vendor and Tenant Management: Enter and maintain information for new vendors and tenants in the system, ensuring all data is correct and up-to-date.
- Filings and Document Management: Process filings for various properties and entities, ensuring that entity names (e.g., ABC1 LLC, ABC2 LLC) match precisely across all documents.
- Vendor Communication: Act as the main point of contact for vendors, handling inquiries and maintaining positive relationships.
- Administrative Support: Assist with general office tasks such as filing, document organization, and other administrative duties as needed.
- Team Support: Provide support to other administrative professionals on ad hoc tasks related to office operations, including scheduling, mail distribution, and other clerical functions.
- Experience: 1-2 years of experience in a clerical or administrative role in real estate, ideally with exposure to finance or accounting.
- Attention to Detail: Strong attention to detail, particularly in data entry and ensuring accuracy in filings and record-keeping.
- Organizational Skills: Excellent organizational skills, with the ability to manage multiple tasks and priorities.
- Interpersonal Skills: Strong interpersonal and communication skills for interacting with vendors, tenants, and internal teams.
- Technical Skills: Comfortable with accounting software and standard office tools (Microsoft Office, etc.).
- Work Environment: Willingness to work full-time onsite in a traditional office environment.
The salary range for this position is $50k-$55k plus benefits. The above salary range represents Advice's good faith and reasonable estimate of the possible base compensation range at the time of posting and is not reflective of the total compensation package, which may also include benefits, equity and other non-cash incentives.
