At the Howard Hughes Medical Institute, we are dedicated to advancing scientific knowledge and education. We are seeking a highly organized and detail-oriented Administrative Coordinator to support our Investigators and foster a warm and welcoming lab environment.

The ideal candidate will possess excellent written, verbal, and interpersonal communication skills, with the ability to work independently and as part of a team. Prior experience with sophisticated travel support and a keen eye for details are highly desirable.

The Administrative Coordinator will provide administrative support for the HHMI Investigator, manage the calendar, coordinate complex scheduling, and assist with correspondence management. The successful candidate will also be responsible for organizing weekly laboratory meetings, special seminars, and laboratory outings, as well as coordinating domestic and international travel arrangements.

Required skills include a B.A./B.S. or equivalent years of education and experience, minimum of 5 years of high-level executive support, and prior experience with sophisticated, detailed travel support. The ideal candidate will be able to assess rolling tasks in a fast-paced lab and prioritize accordingly, with excellent written, verbal, and interpersonal communication skills.

Key Responsibilities:

  • Provide administrative support for the HHMI Investigator
  • Manage the calendar and coordinate complex scheduling
  • Assist with correspondence management and presentation development
  • Coordinate domestic and international travel arrangements
  • Organize weekly laboratory meetings and special seminars
  • Coordinate letters of recommendation and process reimbursements
  • Keep laboratory website updated and serve as a liaison between investigator and various administrative offices

Physical Requirements:

Compensation and Benefits:

HHMI offers a competitive salary range of $69,000 - $112,000, depending on experience, as well as exceptional health benefits, retirement plans, time off, and a range of recognition and wellness programs.
