Job Summary

We are seeking a highly skilled and detail-oriented Office Services Associate to join our team at Williams Lea Group Limited. As an Office Services Associate, you will be responsible for providing daily back office services to our clients and teams, ensuring seamless operations and exceptional customer satisfaction.

Key Responsibilities
  • Utilize logs and job tickets to track and manage office services work.
  • Perform reprographics, mail, and intake functions according to established procedures.
  • Communicate with supervisors and clients on job or deadline issues.
  • Meet contracted deadlines for accepting, completing, and delivering all work.
  • Troubleshoot basic equipment problems and maintain a safe working environment.
  • Load machines with various paper, toner, and supplies.
  • Answer telephone calls, emails, and place service calls as needed.
  • Interact with clients in person, over the phone, or electronically.
  • Adhere to Williams Lea policies and client site policies.
  • Use equipment and supplies in a cost-efficient manner.
Requirements
  • High school diploma or equivalent.
  • Minimum 1 year of office services experience, preferably in a legal, banking, or large corporate environment.
  • Skilled in the use of mail, phone, email, digital reprographics, and mail equipment.
  • Familiar with general back office procedures to meet and maintain client satisfaction.
  • Proven customer service skills to create, maintain, and enhance customer relationships.
  • Good written and verbal communication skills, including professional telephone and email etiquette.
  • Attention to detail with good organizational skills.
  • Ability to meet deadlines and complete all projects in a timely manner.
  • Ability to handle sensitive and/or confidential documents and information.
  • Able to make independent decisions that conform to business needs and policy.
  • Good problem-solving skills, with the ability to escalate problems to a supervisory level when necessary.
  • Ability to work in a team environment and interact effectively with diverse backgrounds.
  • Ability to work in a fast-paced environment and be self-motivated with a positive can-do attitude.
Working Conditions

This role operates in a professional work environment with varying shift requirements. Ability to work overtime as needed. Hazards include working with office machines and cleaning supplies. Must be able to work standing up for most of the time.
