Billing Operations Specialist (Costpoint Expertise Required)

The Billing Operations Specialist is accountable for the precise and prompt establishment of all new agreements and modifications within Deltek Costpoint. This role involves maintaining all necessary data for invoicing, generating bills, and transmitting them to customer billing systems. Collaborating with operational teams to identify projects requiring billing or funding is essential. This position also oversees the assignment of project identifiers for all new contracts.

Key Responsibilities:

  • Accurately inputs new contract/task order/account details provided by the sales team into Costpoint. Conducts thorough reviews on all contracts submitted for processing.
  • Ensures billing criteria align with the customer's contractual agreements where applicable. Maintains a billing schedule to guarantee timely invoicing of contracts.
  • Prepares monthly and quarterly manual invoices for installation and maintenance projects in accordance with contract stipulations. Works closely with the Sales department, Contracts team, and project staff to ensure efficient and accurate billing.
  • Processes, prepares, and submits electronic invoices to both government and non-government clients utilizing WAWF (Wide Area Workflow) and other electronic methods as dictated by the contract. Ensures documentation of client acceptance is forwarded.
  • Acts as the primary contact for all billing-related inquiries. Responsible for investigating, analyzing, escalating, and resolving accounts receivable issues.
  • Maintains project invoice records and electronic correspondence/logs. Monitors the Billing Mailbox and responds promptly.
  • Serves as a backup for billing responsibilities across other subsidiaries.
  • Assists internal and external clients with billing inquiries while ensuring accuracy, accountability, and timeliness. Facilitates direct communication with customers, Sales, and other internal departments as necessary.
  • Plays a crucial role in month-end and year-end financial closings. Must be willing to work in a fast-paced, deadline-driven environment.


Qualifications:

  • Minimum of eight (8) years of experience in government contract billing.
  • Bachelor's degree in Business Administration, Finance, Accounting, or a related discipline.
  • Extensive knowledge and experience in evaluating government contract awards for billing requirements.
  • Proficient in Excel applications.
  • Experience with Deltek Costpoint or GCS.
  • Detail-oriented, dependable, and capable of thriving in a deadline-driven environment.
