Job Description

We are looking for a dedicated Administrative Support Specialist to enhance our operational efficiency. In this role, you will be responsible for managing communications with professionalism and courtesy, optimizing office procedures, organizing appointments, and coordinating company events. You will also be tasked with procuring office supplies and promoting our brand through various community initiatives and digital platforms.

As part of Keller Williams Richmond West, you will serve as a vital link between our agents and the management team, ensuring a welcoming and productive environment.

Key Responsibilities:

  • Act as the primary point of contact for our office, managing phone calls, welcoming visitors, and overseeing mail distribution.
  • Track and process commission checks in collaboration with the Market Center Administrator to ensure accuracy and timeliness.
  • Maintain training and meeting spaces to facilitate smooth operations and exceptional experiences for our agents.
  • Foster a positive atmosphere by providing assistance and support to all team members and guests.
  • Work closely with management to attract and onboard talented agents, ensuring a seamless integration into our culture.
  • Engage with our agent community through regular outreach, encouraging participation in training and events.
  • Contribute to the marketing and communication strategies by promoting classes, programs, and office activities through various channels.
  • Celebrate achievements within the office and recognize agent contributions through different platforms.
  • Serve as a brand ambassador for Keller Williams culture, embracing opportunities for learning and development.

Qualifications:

  • Familiarity with the real estate industry.
  • Strong accountability and a proactive approach to tasks.
  • Ability to thrive in a fast-paced environment with a positive demeanor.
  • Excellent organizational skills and attention to detail.
  • Proficient in written and verbal communication.
  • 1-2 years of experience in an administrative role.
  • Proficiency in Google Workspace, Canva, and DocuSign.
  • Experience in marketing, event planning, or public relations is a plus.
  • A collaborative team player with a strong desire for personal and professional growth.
