About the Role:

Under the guidance of the Executive Director of Program Services, the Administrative Support Specialist functions as the primary point of contact at the front desk, providing essential administrative assistance to both staff and visitors. This role emphasizes outstanding customer service and the promotion of organizational programs through effective communication. Responsibilities include managing incoming calls with professionalism, welcoming clients, volunteers, and guests, and ensuring a secure environment through vigilant monitoring. The specialist will also provide general information regarding organizational services and operations while performing various clerical tasks such as data entry, correspondence, document preparation, and photocopying.

Key Responsibilities:
  • Answer incoming calls courteously, delivering accurate information about services and operations.
  • Address or escalate concerns and complaints in a timely manner.
  • Maintain and update statistical records, ensuring accuracy and completeness.
  • Conduct routine typing of departmental documents, ensuring thorough proofreading for accuracy before proceeding to new tasks.
Qualifications:
  • High school diploma or GED required; additional coursework in Business, Communication, or Education is preferred.
  • A minimum of two years of experience, ideally in diverse urban settings.
Work Environment:

This position is primarily based in an indoor office environment, with occasional outdoor responsibilities. Normal office conditions apply, with minimal physical discomforts related to weather or noise.

Responsibilities involve a combination of sitting, standing, and walking.

Candidates must be able to handle stressful situations effectively, follow emergency protocols, and manage multiple tasks while adhering to instructions. Strong communication skills, both verbal and written, are essential, along with the ability to meet deadlines and attendance requirements.
