Overview

The Sales Administration Specialist will directly support the Sales Director by managing the sales information system and providing essential administrative assistance to the sales team.

Key Responsibilities
  • Retrieve and scan contracts for Sales Representatives as needed.
  • Accurately enter work order submissions.
  • Adhere to work order setup protocols.
  • Respond to inquiries by clarifying information needs and conducting research to provide accurate data.
  • Process and send liquidated damages correspondence.
  • Maintain and update the customer database by entering inquiry information.
  • Generate detailed reports on delinquent accounts for review by General Managers and Regional Sales Managers to facilitate the removal of equipment and services.
  • Create customer profiles for new accounts.
  • Digitally archive contracts in the tracking system.
  • Input contract terms into the tracking system.
  • Achieve or surpass established service quality and productivity targets.
  • Research and compile customer backup documentation.
  • Maintain established service level objectives.
  • Perform additional duties as assigned.
Required Qualifications:
  • High School Diploma or G.E.D.
  • 1-2 years of experience in an administrative role.
  • Strong verbal and written communication skills.
  • Excellent organizational abilities.
  • Proficient in MS Office, particularly Word, Excel, and Outlook.
  • Positive customer service attitude and effective communication skills.
  • Ability to meet the physical demands of the position with or without reasonable accommodations.
Preferred Qualifications:
  • Bilingual in English and Spanish.
Physical/Environmental Demands:
  • Physical: Continuous sitting, seeing, hearing, speaking, and smelling.
  • Ongoing problem-solving, communication, analytical thinking, calculation, concentration, and interpersonal interactions.
  • Frequent eye/hand coordination, typing, handling, and wrist movement.
  • Regular bending, reaching, stretching, standing, and walking.
  • Environmental: Occasional exposure to dust, smoke, fumes, odors, and noise.
  • Occasional exposure to grease, oil, chemicals, and wet conditions.
  • This position is office-based.
Compensation: $29.30 per hour
