POSITION OVERVIEW

The Executive Assistant serves as a vital resource within the Executive Office, providing high-level administrative support and managing a variety of executive tasks. This role is essential for the smooth operation of our organization and requires a professional who is self-motivated and adept at prioritizing responsibilities in a fast-paced non-profit environment.

KEY RESPONSIBILITIES

  • Deliver comprehensive administrative support, including managing calendars, drafting meeting agendas, composing correspondence, arranging travel itineraries, and preparing background materials for CEO meetings.
  • Organize and coordinate meeting schedules for the Executive Team and staff gatherings, ensuring effective communication and logistical arrangements.
  • Act as the official recorder for Board meetings, preparing accurate minutes and maintaining essential documentation.
  • Maintain up-to-date contact information for Board members and key external stakeholders, ensuring accessibility and effective communication.
  • Collaborate with the Chief of Staff and other Executive Team members to facilitate outreach and communication with external partners, enhancing the NCOA network.
  • Perform additional duties as assigned to support the Executive Office.

PROFESSIONAL QUALIFICATIONS

  • Bachelor's degree or equivalent experience.
  • A minimum of three years of experience providing support to executive leadership, preferably in a non-profit or membership organization.
  • Demonstrated experience in administrative board liaison functions.
  • Exceptional interpersonal skills with a focus on building relationships and providing high-quality service.
  • Strong written and verbal communication abilities.
  • Proficient in research and analysis, utilizing data to inform decision-making.
  • Excellent organizational skills with the capacity to manage multiple tasks in a dynamic environment.
  • A collaborative team player who can also work independently.
  • Ability to handle sensitive information with discretion and integrity.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Commitment to fostering a diverse and inclusive workplace.

WORK ENVIRONMENT

The work environment is typically moderate in noise level, conducive to focused tasks.
