Job Summary

We are seeking a highly skilled and detail-oriented Patient Services Representative II to join our team at UPMC. As a key member of our front office staff, you will be responsible for providing exceptional customer service to our patients and ensuring a positive experience from the moment they walk in the door.

Key Responsibilities
  • Coordinate front office staff in the performance of daily functions, including registration, scheduling, and billing.
  • Attend meetings and training sessions to stay up-to-date on financial and scheduling systems.
  • Provide training and support to new staff members and act as a lead resource for front office operations.
  • Verify bank deposits and ledger sheets for cash payments, and maintain office supplies inventory.
  • Monitor and correct error reports, open encounter reports, and other reports assigned by the manager.
  • Provide regular updates to the manager on the status of report resolution and troubleshoot process breakdowns.
  • Obtain and verify demographic, financial, and guarantor information, and enter or update information in scheduling/financial systems accurately.
  • Verify patient insurance coverage and obtain and validate patient guardianship, ensuring appropriate documentation.
  • Collect co-payments and payment for services, and complete bank deposit slips and ledger sheets for cash payments.
  • Provide for patient confidentiality and privacy at all times, and ensure that all messages are given to providers in a timely fashion.
  • Answer the telephone promptly and provide exceptional customer service, and accurately schedule, cancel, adjust, or reschedule appointments.
  • Process co-payments and payment of services, reconcile account balances, and review and correct financial system error reports on a daily basis.
  • Generate and send letters to patients as directed by providers, and fax documentation to requested parties.
  • Complete patient checkout and schedule follow-up appointments, and confirm patient appointments and direct patients appropriately.
  • Respect patient privacy and confidentiality, and observe and facilitate patient throughput, notifying the appropriate chain of command as needed.
Requirements
  • High school graduate or equivalent.
  • Medical Secretary, Customer Service Representative, Scheduler, or Medical Assistant with a minimum of two years experience in an ambulatory care office or outpatient care facility.
  • Proficiency in use of computer, keyboarding, and medical terminology knowledge required.
  • Accuracy and attention to detail are extremely important.
  • Must possess strong organizational and communication skills and be able to work independently in a fast-paced environment.
  • Preferred: Experience with Electronic Medical Record (EMR), and registration/scheduling process and systems. Knowledge of Medicaid, Medicare, and private insurance plans. Knowledge of insurance verification systems. Previous team leader or supervisory experience.
