SALES COORDINATOR JOB DESCRIPTION

Directly Reports to: Publisher

Location: Chicago, IL

OBJECTIVE

KEY RESPONSIBILITIES

  • Offer comprehensive administrative support to the local sales team.
  • Facilitate the creation of contracts and proposals.
  • Ensure that sales contracts are meticulously completed and accurately recorded in the sales management system.
  • Organize and maintain an efficient filing system for the sales department, including correspondence and other essential documents.
  • Develop and update account information for sales representatives, ensuring all data is current.
  • Utilize Media Radar to generate competitive analysis reports and track editorial coverage.
  • Compile sales kits and promotional materials for client outreach and sales initiatives.
  • Manage daily administrative tasks, including conference calls, calendar scheduling, and expense documentation.
  • Oversee the client database and coordinate client contracts utilizing the COMPS system.
  • Conduct routine account maintenance, including managing editorial and production timelines.
  • Collect competitive intelligence to support the sales team.
  • Engage with clients through phone, email, and in-person interactions as necessary.
  • Perform additional duties as assigned.
  • Coordinate photo shoots for special projects, maintaining close client communication.

ADDITIONAL FUNCTIONS

  • Follow up with customers regarding accounts in the absence of the Account Executive/Director or Publisher.
  • Execute other job-related tasks as required, including managing large-scale projects.
  • Assist with team initiatives, current events, and the development of new promotional activities, including coordinating in-book marketing materials and supporting sales through sponsorship campaigns.
  • Participate in events as needed.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor's degree (B.A.) from an accredited institution; or one to two years of relevant experience and/or training; or an equivalent combination of education and experience.
  • A minimum of one year of experience in a print media environment.
  • Proficiency in computer operations, including Microsoft Office Suite (Word, Excel, PowerPoint) and Gmail.
  • Demonstrated ability to manage multiple tasks and work effectively under tight deadlines.
  • Familiarity with office equipment operation.
