Key Responsibilities

  • Administer District Sales support functions and manage data entry for contracted orders, ensuring compliance with the overall contracting process.
  • Supervise the Territory Manager's utilization of sales tools to maintain accuracy in SalesForce and PP.Net, confirming necessary approvals are secured.
  • Promptly inform customers of relevant information regarding invoices, down payments, security deposits, and lien bond details to facilitate the contracting process.
  • Provide comprehensive administrative support, including answering phone calls, welcoming customers, managing schedules, organizing meetings and events, coordinating travel arrangements, maintaining district files, and assisting district personnel.
  • Manage inventory of office supplies, EFCO Gear, 3D printing materials, and ensure the upkeep of office equipment.
  • Oversee customer accounts receivable, nurturing relationships to ensure timely collections and fulfilling requests for waivers, W-9 forms, and Certificates of Insurance. Maintain detailed collection notes and provide updates for weekly reports.
  • Maintain the customer contact database, ensuring accurate company logos and contact information are up to date.
  • Facilitate training and support for the use of sales tools such as SalesForce, Project Plan, EFCO Online, Invoice Retrieval, and SharePoint.
  • Coordinate pre-employment screenings for potential hires, ensuring all necessary documentation and equipment are prepared prior to their start date.
  • Engage in other job-related duties and special projects, including managing the FORM MARKS mailing list and providing phone support.

Qualifications

  • High school diploma or equivalent required.
  • Experience in sales, collections, or administrative support is advantageous.
  • Exceptional interpersonal and written communication skills, with the ability to prioritize tasks and adapt to changing daily responsibilities.
  • Notary Public certification is mandatory.
  • Proficiency in Microsoft WORD, Excel, and PowerPoint, with a typing speed of 70 words per minute.
  • Familiarity with Outlook or Access is a plus.
  • Detail-oriented with strong numeric and alpha skills, alongside effective filing and recordkeeping capabilities.
  • Ability to work independently while maintaining confidentiality.
  • No travel is required.
