Position: Project Management Assistant

Position Overview:

DBI Projects is on the lookout for a Project Management Assistant to become a vital part of our expanding professional services team. This role offers a unique opportunity for individuals to cultivate the necessary skills and knowledge to oversee projects effectively. Essential Experience & Skills:

The ideal candidate should possess 4–6 years of experience in architecture, construction oversight, or related fields, particularly in capital projects. The Project Management Assistant position is customized to align with the specific requirements of each project and its respective phase. This role provides support to the project lead and senior management in areas such as client engagement, project team collaboration, contractor and schedule oversight, budget management, and other project-related tasks.

Key Competencies Include:

  • Proficiency in MS Office Suite (Word, Outlook, PowerPoint, Excel)
  • Familiarity with Adobe Creative Suite (InDesign, Illustrator, Photoshop)
  • Understanding of AutoCAD and Bluebeam software
  • Experience with construction scheduling tools such as MS Projects

Responsibilities:

  • Assist in all aspects of project management, including budget, schedule, procurement, quality, and risk management at every project stage, from pre-development through to closeout.
  • Continuously monitor the project timeline, being aware of potential challenges, changes, and priorities.
  • Oversee the project budget, preparing a comprehensive budget for internal review and generating complete invoices and requisitions for clients and lenders, ensuring all necessary documentation is organized.
  • Draft clear and actionable communications, including emails, updates, meeting agendas, minutes, and follow-ups.
  • Comprehend the production of all essential project documents, including schedules, budgets, phasing, drawings, contracts, and leases from inception to completion.
  • Manage and facilitate client interactions to anticipate their needs, fostering and maintaining relationships with clients, vendors, and consultants.
  • Interpret design drawings for general layout and high-level scope, producing written narratives that document the scope. Navigate drawings effectively and understand tags, callouts, and references.
  • Understand various financing types and review funding opportunities, organizing submission requirements.

Applicants should possess strong written and verbal communication skills and be prepared to actively participate in both internal and external tasks.
