Job OverviewPosition Title: Executive Administrative Coordinator / Customer Solutions Department Liaison

Contract Duration: 6 Months
Compensation: $25.56 to $33/hr

Position Summary:
  • The Executive Administrative Coordinator is a proactive and driven individual responsible for providing comprehensive support to the Senior Director of the Customer Solutions Department, executing intricate administrative tasks and assisting as needed.
  • The Customer Solutions Department encompasses five distinct divisions, including Appeals & Grievances, Member Enrollment Services, Quality Assurance, Outreach & Service, and the Office of Service Excellence.
  • This role involves handling sensitive information and necessitates a solid understanding of managed care policies, procedures, and operations, requiring discretion, sound judgment, and professionalism.

Key Responsibilities:
  • Oversee and organize the Senior Director's calendar and appointments, acting as the primary liaison for both internal and external stakeholders while fostering professional relationships with a proactive approach.
  • Identify administrative challenges that may affect operations and propose effective solutions and strategies.
  • Coordinate and plan meetings for the Customer Solutions Department staff.
  • Review and implement workflows, processes, and procedures related to general administrative tasks (45%).
  • Discern appropriate channels for addressing various issues and concerns.
  • Suggest enhancements to administrative systems and maintain confidentiality for the Senior Director.
  • Draft important and confidential correspondence and documents that require a comprehensive understanding of departmental operations, policies, and regulations.
  • Establish and maintain both confidential and non-confidential files and records (15%).
  • Compile and prepare various reports by gathering data and summarizing information in the appropriate format.
  • Organize and coordinate on-site and off-site meetings and conferences.
  • Prepare agendas and manage attendee registrations.
  • Arrange travel logistics as necessary (15%).
  • Provide general support and customer service to both internal and external stakeholders, addressing ad-hoc requests, inquiries, and routing them to the appropriate personnel for follow-up.
  • Collaborate regularly with administrative staff (15%).
  • Perform additional duties as assigned (10%).

Required Qualifications:
  • High School Diploma or equivalent.

Preferred Qualifications:
  • Associate's Degree.

Experience Required:
  • 0-2 years of substantial administrative experience supporting senior-level personnel.

Essential Skills:
  • Proficient in Microsoft Word and Excel, with a typing speed of 40 words per minute.
  • Familiarity with standard office equipment (fax, copier, computer, phone, etc.).
  • Strong written and verbal communication skills are crucial.
  • Able to interact effectively with a diverse range of individuals, both within and outside the organization.
  • Excellent organizational skills with the ability to take initiative, follow through, and meet multiple deadlines.
  • Capable of prioritizing tasks and managing multiple assignments in a fast-paced, confidential environment.
