Role Summary:

The Administrative Assistant II will deliver comprehensive administrative assistance to the Divisional Vice President (DVP) of Global Data Science & Analytics and the associated team within the Medical Device Division. This position is crucial for maintaining the efficiency of daily operations, which includes managing schedules, organizing meetings, coordinating travel logistics, and supporting various project management activities. The ideal candidate will demonstrate a willingness to learn, adapt, and communicate effectively in a fast-paced environment.


Key Responsibilities:

  • Effective Communication: Provide exceptional written and verbal communication across all organizational levels.
  • Calendar Coordination: Oversee the DVP's calendar, including the scheduling and arrangement of meetings, appointments, and events.
  • Project Coordination: Compile and present weekly and monthly reports, gathering insights from portfolio leaders and providing timely updates to the DVP.
  • Contract and Procurement Support: Collaborate closely with the contracting team to ensure efficient progress through the Procurement and Finance departments.
  • Document Management: Utilize Excel, SharePoint, and MS Teams to track documents, organize data, and uphold project timelines.
  • Meeting Logistics: Manage all aspects of meeting arrangements, including venue bookings, resource preparation, and distribution of materials.
  • Travel Coordination: Arrange both domestic and international travel, including flight bookings, accommodations, and transportation.
  • Invoice Processing: Assist in managing invoices and expense reports using SAP Concur or similar systems.


Qualifications:

  • Associate's degree in any field is required.
  • Prior experience in supporting senior executives is preferred, with strong organizational capabilities and the ability to manage multiple tasks concurrently. Familiarity with Ariba and Concur is advantageous.


Required Skills:

  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Microsoft Teams.
  • Exceptional attention to detail with the ability to manage intricate schedules and handle confidential information discreetly.
  • Capability to work autonomously in a dynamic environment, demonstrating initiative and problem-solving skills.
