Customer Support Coordinator Job Description

At Catalyst Workplace Activation, we are seeking a highly organized and detail-oriented Customer Support Coordinator to join our team. This role is responsible for preparing quotes and orders, communicating with customers, and providing support to sales and customers.

Key Responsibilities:
  • Furniture Pricing and Quoting: Meet with salespersons to determine quote scope and goals, prepare complete model numbers using pricing software, and create accurate quotes in our operating system.
  • Order Placement and Acknowledgement: Ensure all information in our business operating system is complete and accurate, generate and send POs to vendors, and complete necessary GSA or other required forms for order entry.
  • Order Tracking and Management: Contact vendors to confirm shipping and tracking, track shipments on freight websites or via phone, and review order status on a regular basis.
  • Customer Engagement: Notify clients of order status, coordinate delivery, and field daily phone calls and emails from clients.
  • Invoicing and Order Completion: Follow up on outstanding issues, confirm accurate invoicing, and send customer satisfaction surveys upon order completion.
Requirements:
  • High school diploma or GED required; Bachelor or Associate degree preferred.
  • 1-2 years customer service experience required.
  • Design and/or systems furniture experience preferred but not required.
Ideal Candidate:
  • Ability to learn and accurately utilize software.
  • Understanding of discounting and proficient math skills to apply discounting.
  • Strong organizational skills and high attention to detail.
  • Excellent documentation of order details and responsive communication with all internal and external customers.
