Position Overview

The Photo Operations Coordinator plays a vital role within the Photo department.

This position is accountable for the successful execution of all pre-production, on-site, and post-production activities related to photo shoots. We seek an individual who is enthusiastic about our brand, capable of working autonomously, possesses exceptional attention to detail, and can effectively manage multiple tasks simultaneously. A strong interest in retail and fashion is essential.

Reporting Structure

This role will report directly to the Photo Producer and is a full-time position.

Key Responsibilities

  • Sample Management: Organize and maintain current and past season samples for photo shoots and internal presentations.
  • Sample Closet Oversight: Ensure the sample closet is systematically organized, labeled, and easily accessible for various teams. Collaborate with Production regarding any missing samples, design notes, and sizing or fit concerns, ensuring all relevant information is communicated to the appropriate team members.
  • Wholesale Coordination: Work alongside the Wholesale team to facilitate the sharing of samples as required.
  • Size Inventory Tracking: Monitor size inventory in relation to booked models for all shoots and track samples dispatched for various purposes.
  • Stylist Collaboration: Collaborate closely with freelance stylists for style-outs, ensuring that visual shot lists align with the selected outfits.
  • Styling Inventory Management: Oversee the inventory of styling items and props, including the collection and return of jewelry and accessories.
  • Sample-Related Orders: Responsible for ordering and maintaining various sample-related supplies, such as racks, hangers, tags, and storage bags, with managerial approval.
  • Image Status Management: Manage image status tracking and updates for both flat lay and on-figure photography. Assist the Producer with tracking shoot receipts and other basic administrative tasks as needed.
  • In-Studio Photo Shoots: Take ownership of sample and shot list management for all in-studio flat lay shoots. Ensure timely drop-off and pick-up of samples from external studios and attend all flat lay shoots to verify that shots are executed as planned.
  • On-Model Photo Shoots: Participate in all on-model photo shoots, assisting the Producer with logistics and acting as a second Stylist Assistant to ensure quality fit checks and anticipate any potential challenges.
  • Model Outfit Coordination: Ensure models are dressed appropriately for each shot and collaborate closely with stylists to guarantee that samples fit models correctly.
  • Sample Maintenance: Ensure that samples are well-organized, labeled, and maintained throughout the duration of the photo shoots.
