GENERAL JOB DESCRIPTION

The Event Management Associate collaborates closely with the Director of Event Services to ensure the seamless execution of various events, including weddings, corporate meetings, and student activities. This role involves acting as a key point of contact for clients, facilitating the planning and implementation of their events.



MAJOR DUTIES AND RESPONSIBILITIES

  • Promptly respond to inquiries from potential clients regarding event space reservations.
  • Organize meetings with clients to finalize event details and arrangements.
  • Review and manage all requests submitted through the Event Management System.
  • Maintain regular communication with the Facilities Department to coordinate event setups and breakdowns.
  • Address any inquiries related to event scheduling.
  • Oversee pre-event preparations, including invoicing, insurance documentation, and coordination with relevant campus departments.
  • Assist marketing and security teams in event readiness.
  • Support the Director during events with logistics, client interaction, and staff coordination.
  • Provide assistance in operational planning and client management.
  • Supervise the student Audio-Visual Technical Crew.
  • Manage the inventory of audio-visual equipment.

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education

  • Bachelor's degree or equivalent experience.
  • All degrees must be from accredited institutions.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail.
  • Ability to cultivate and maintain relationships with clients and stakeholders.
  • Comprehensive understanding of business practices in client relations.

Experience

  • Proficient in Microsoft Office Suite.
  • Excellent time management and communication abilities.
  • Comfortable with telephone communication.
  • Demonstrated commitment to quality customer service.
  • Detail-oriented approach.
