GENERAL JOB DESCRIPTION

The Event Coordination Specialist collaborates closely with the Director of Event Services. This role is pivotal in executing a wide range of events, including weddings, corporate meetings, presentations, and student activities. The Director formulates the overarching plan, while the Event Coordination Specialist acts as the primary contact for clients, ensuring seamless execution of the event vision.



MAJOR DUTIES AND RESPONSIBILITIES

  • Promptly respond to inquiries from potential clients regarding venue reservations.
  • Organize site visits with clients to discuss event specifics and arrangements.
  • Evaluate and manage all requests submitted through the Event Management System.
  • Maintain daily communication with the Facilities Department to coordinate event setups and breakdowns.
  • Address any inquiries related to event scheduling on campus.
  • Oversee pre-event preparations, including invoice generation, insurance documentation, and coordination with relevant campus departments.
  • Support internal teams such as marketing and security in event logistics.
  • Assist the Director during events with logistics, including signage, client greeting, and staff coordination.
  • Provide administrative support to the Director in operational planning and client relations.
  • Supervise the student AV Tech Crew under the Director's guidance.
  • Manage the inventory of audiovisual equipment.

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education

  • Bachelor's degree or equivalent combination of education and experience.
  • All degrees must be from accredited institutions.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail.
  • Adept at building and maintaining relationships with clients and stakeholders.
  • Comprehensive understanding of business practices within client relations.

Experience

  • Proficient in Microsoft Office Suite.
  • Strong time management and communication abilities.
  • Comfortable with telephone communication.
  • Committed to delivering high-quality customer service.
  • Detail-oriented approach.
