GENERAL JOB DESCRIPTION

The Event Operations Coordinator collaborates closely with the Director of Event Services. This role is pivotal in executing and managing various gatherings such as weddings, corporate events, trade shows, meetings, and student activities. While the Director formulates the overarching strategy, the Event Operations Coordinator acts as the primary contact for clients, ensuring seamless execution of event plans.



MAJOR DUTIES AND RESPONSIBILITIES

  • Promptly respond to inquiries from potential clients regarding space reservations.
  • Organize meetings with clients to finalize event details and arrangements.
  • Review and manage all incoming requests through the Event Management System.
  • Maintain daily communication with the Facilities Department to coordinate event setups and breakdowns.
  • Address any inquiries related to event scheduling on campus.
  • Oversee pre-event preparations including invoicing, insurance documentation, and liaising with relevant campus departments.
  • Assist internal teams such as marketing and security in event readiness.
  • Support the Director during events with logistics, client interaction, and staff coordination.
  • Provide assistance in operational planning, client relations, and administrative tasks.
  • Supervise the student AV Tech Crew under the Director's guidance.
  • Manage the inventory of audiovisual equipment.

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education

  • Bachelor's degree or an equivalent combination of education and experience.
  • All degrees must be obtained from accredited institutions.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail.
  • Ability to cultivate and maintain relationships with clients and stakeholders.
  • Comprehensive understanding of business practices within client relations.

Experience

  • Proficient in Microsoft Office Suite.
  • Excellent time management and communication abilities.
  • Comfortable with telephone communication.
  • Commitment to providing high-quality customer service.
  • Detail-oriented approach.
