GENERAL JOB DESCRIPTION

The Event Services Coordinator collaborates closely with the Director of Event Services to ensure the successful planning and execution of various events. This role is pivotal in managing the logistics of gatherings such as weddings, corporate meetings, and academic functions. The Coordinator acts as a key point of contact for clients, facilitating the realization of their event concepts.



MAJOR DUTIES AND RESPONSIBILITIES

  • Promptly respond to inquiries from potential clients regarding venue reservations.
  • Organize preliminary meetings with clients to discuss event specifics and arrangements.
  • Review and manage all event requests submitted through the Event Management System.
  • Maintain regular communication with the Facilities Department to coordinate event setups and breakdowns.
  • Address any inquiries related to event scheduling.
  • Oversee pre-event preparations including invoice generation, insurance documentation, and coordination with relevant campus departments.
  • Support internal teams such as marketing and security in event readiness.
  • Assist the Director during events with logistical tasks, client interactions, and staff coordination.
  • Provide support in operational planning, client relations, and administrative tasks.
  • Supervise the student AV Tech Crew under the guidance of the Director.
  • Manage the inventory of audiovisual equipment.

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education

  • Bachelor's degree or a comparable combination of education and experience.
  • All degrees must be obtained from accredited institutions.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail.
  • Ability to cultivate and sustain relationships with clients and stakeholders.
  • Comprehensive understanding of business practices within client relations.

Experience

  • Proficient in Microsoft Office Suite.
  • Strong time management and communication abilities.
  • Comfortable with telephone communications.
  • Demonstrated commitment to quality customer service.
  • Detail-oriented approach.
